Job Description: The (Remote) Implementation Manager (IM) position has the primary goal of ensuring successful and high-quality implementations of new accounts according to client needs, objectives, and contract specifications. The IM is responsible for managing personnel allocated to the implementation, ensuring the accomplishment of major milestones, partnering with the client to optimize scribe utilization and workflow, and maintaining on-the-ground operations that serve the overall best interest of the implementation. Through quality assurance measures, productive communication, necessary site visits, and interdepartmental coordination, the IM will ensure that each account is implemented successfully. Duties and Responsibilities Ensure the timely and successful delivery of our services according to client needs and objectives including but not limited to confirming: client goals are being met full coverage of shifts and adequate staffing timecards errors are corrected scribe compliance with facility requirements and company policies high standards of quality Follow timelines and monitor progress and adherence to timeline and/or budget Manage and monitor several implementations simultaneously Optimize scribe utilization and workflow at an implementation Meet with local facility staff to learn departmental flow and determine provider preferences Troubleshoot any operational matters before or during the implementation phase Operate as the main point of contact for all matters during the implementation Prepare for implementations by hiring and onboarding scribes prior to the implementation start date Manage multiple Ambassadors May be required to lead implementations at the site level Facilitate communication and coordinate with all members of the project team including but not limited to: Employees assigned to the project The local internal operational team members Corporate departments, i.e. Finance, HR, etc. The client The client’s human resources, IT, and other facility liaisons Primarily responsible for recruiting and hiring Attend client meetings as needed or requested Conduct frequent site visits during the implementation Perform all Chief Scribe duties when there is not a fully trained Chief Scribe (see Chief Scribe Job Description) Collaborate with the Account Managers to identify and train a local Chief Scribe Responsible for development of the employee during the implementation phase (including recruiting, interviewing, hiring, training, development, guidance, counseling, mentoring, and termination) Provide leadership, mentorship, and training to subordinantes Complete performance evaluations on all Ambassadors and scribes Conduct daily calls with direct reports to ensure seamless and timely implementation progress Deliver reports on implementation progress and metrics Conduct an in-depth weekly review of each implementation to ensure stability and excellence and deliver reports on implementation progress and metrics to your manager Create or obtain training materials in order to efficiently train employees You may be required to work scribe shifts from time to time Actively participate in the development of operational strategies and company-wide best practices Required Education and Experience Living within the region is strongly preferred A college degree or the equivalent is required One or more years of management experience preferred Scribe program implementation experience preferred Displays exemplary work ethic, maturity, and professionalism Possess a high level of independent judgment, strong innovation and problem solving skills Ability to communicate and interface effectively at all levels of the organization Experience seeking feedback from clients and improving client experience Possess excellent verbal and written communications skills Possess excellent presentation and teaching skills Possess strong computer skills – technologically savvy Possess excellent organizational/project management skills and ability to manage multiple projects at a time while paying strict attention to detail Possess the ability to successfully manage and motivate people Extensive knowledge of the intricacies of provider documentation Thorough understanding of medical facility workflow, efficiency management, and nuances of medical documentation. Moderate noise (i.e. home office with computer, phone, and printers) Ability to sit at a computer for an extended period of time *Must be able to perform all of the essential duties of the job with or without reasonable accommodation Position Type/Expected Hours of Work This is a full-time position and hours of work and days vary Monday through Sunday depending on the facility contract and scribe hours needed. Travel Frequent travel between facilities is expected in this role. Travel will be determined by the needs of the company.
