Job Description
Section I. General Overview & Reporting:
The Purchasing Specialist is responsible for purchasing components, raw materials, and finished goods used in the production of lighting products, packaging, large ticket office furnishings, reselling, and store goods. This position reports to the Director of Purchasing.
Section II. Duties & Areas of Responsibility:
The primary duties of the Purchasing Specialist consist of, but are not limited to, the following:
A. Material Procurement
- Work closely with production team regarding orders and customer due dates
- Determine and source materials (raw materials, components, finished goods, etc.) needed for production, based on customer orders
- Request proposals from new suppliers
- Negotiate optimum, competitive pricing and delivery schedules
- Source substitute materials when current vendors are out of stock
- Negotiate payment and warranty terms with vendors
- Create and track purchase orders
- Adhere to rules/regs regarding import, and prepare purchase orders to tariff schedule classifications
- Coordinate transportation to ensure on-time delivery
- Schedule containers for Chinese imports
- Collaborate with engineering regarding product changes or new products
B. Post Purchase Activities
- Monitor and troubleshoot
- Resolve problems with domestic and international shipments
- Resolve supply chain concerns
- Ensure vendor quality
- Manage relationship with vendors/suppliers
- Work with vendors regarding damaged parts & arrange for replacements or refunds
- Administer vendor warranty claims
- Run reports regarding purchasing history & products, and analyze data
- Other duties, as assigned
Section III: Necessary Skills and Attributes:
- Previous purchasing experience required
- Solid attention to detail
- Excellent organizational, time management and planning skills
- Proven problem resolution abilities
- Demonstrated initiative
- Ability to learn and apply new processes quickly
- Excellent interpersonal, and collaborative skills
- Solid written and verbal communication abilities
- Ability to work both independently, and in team settings
- Competent MS Office skills (Specifically Excel)
- Experience with Purchasing, ERP, and supply chain systems
- Ability to speak Mandarin or Cantonese helpful
Section IV: Physical Requirements:
- Visual acuity is required to read computer screens, written documents, inspect materials, products, etc.
- Must be able to work sitting, standing, stooping, bending, and in squatting position.
- Must be able to lift 20 pounds.
- Manual dexterity required for computer work, to handle materials, supplies, etc.
- Must have the ability to work in a non-climate-controlled plant/warehouse environment (including high/low temperatures, dust, humidity, etc.).
- Ability to travel independently, without assistance
