Responsibilities

  • Coordinate and manage administrative personnel in various regional offices.
  • Serve as the focal point for administrative and documentation activities.
  • Be responsible for meeting schedules (including team conferences), scope, and budget requirements of projects.
  • Gather the appropriate information to generate reports for projects.
  • Assign, monitor, and ensure administrative responsibilities are being completed in a timely manner.
  • Provide and/or assign the training/mentorship needed for personnel to perform effectively.
  • Maintain appropriate administrative support to cover hours allocated to various professionals/projects.
  • Prepare regular, timely employee reviews, incorporating feedback from the professionals each employee supports.
  • Assist with the selection of new hires and conduct interviews.
  • Handle confidential and non-routine information.
  • Support and assist Executives with various requests.
  • Maintain the time-off tracking for administrative staff.
  • Establish, maintain, and coordinate schedules of administrative staff including coverage for support.
  • Answer questions, troubleshoot, and address inquiries in a timely manner.
  • Assist with special projects and other administrative duties as assigned.

Qualifications

Skills/Experience:

  • Bachelor’s Degree in Business/related field, or equivalent years of experience.
  • Broad experience in administration and operations with five (5) or more years of successful supervision/management of direct reports.
  • Ability to oversee a variety of projects with competing deadlines.
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Ability to effectively work independently, as a leader and collaboratively.
  • Organizational skills: Experience independently planning, and managing projects; excellent attention to detail; ability to establish priorities and react promptly to a large variety of requests and needs, sometimes on short notice.
  • Proven ability to analyze problems and implement action plans.
  • Must be self-directed, with an in-depth understanding of the organizational goals.
  • Strong analytical, interpersonal, and oral, and written communication skills required.
  • Proficient with Microsoft Office Suite. Strong working knowledge and skills in Microsoft computer software applications. Comfort working in digital platforms.
  • Project coordination and/or project management experience preferred.
  • Travel: 5—15%
