With our principals having over 40 years of experience providing commercial real estate services in the San Francisco Bay Area, Sares Regis has assembled a staff of remarkable talent from a broad range of related development backgrounds including urban and master planning, entitlements, architecture, various engineering disciplines, construction, project management, real estate development and financial services. We have developed over 21 million square feet of commercial and residential properties, and over 19,000 multi-family and residential housing units, primarily located throughout the San Francisco Peninsula. Our portfolio consists of a combination of fee-based consulting and management services for clients, and developments of our own, with budgets ranging from $10M to well over $1B USD. Our client base includes corporations, non-profits, universities, institutions, cities, and counties. The Paralegal will support the Chief Operations Officer of the Commercial Division and the General Counsel and will be responsible for a broad range of duties, including:

Chief Operations Officer Support:

  • Contract Administration
    • Assist with standard contract review for accuracy and completeness including gathering information required, correcting typos and discrepancies.
    • Follow up for timely execution of contracts.
    • Provide a monthly contract status report to flag any upcoming contract expirations.
    • Review contracts and identify compliance requirements (such as notices to be given, or reports to be provided), and create a summary for tracking and monitoring.
    • Assist with obtaining signatures, scanning and electronic filing
    • Conduct periodic audit of project files for completeness
  • Client requirements compliance
    • Able to gather, organize and report information (such as background checks, or Certificate of Insurance) that is required by our client(s)
    • Manage and monitor client reporting requirements
    • Help maintain comprehensive and accurate records
  • Perform minor accounting duties
    • Working with our accounting team, provide a monthly invoice status report to flag and follow up on any delinquent invoice submissions
    • Manage department subscriptions, event attendance, donations, etc.
    • Provide a monthly report to track department expenses
  • Assist with preparation of marketing materials
    • Review documents and correct typos and discrepancies
    • Help create templates such as for response to Request for Proposals (RFPs)
  • Assist the COO with coordination and communications with other departments, employees and clients.
  • May perform special assignments such as researching information and compiling reports. 
  • Providing administrative assistance to the COO, including:
    • writing and editing e-mails, drafting memos, and preparing communications on COO’s behalf
    • Preparation, coordination and assist set-up for internal and external events and presentations
    • Assist with logistics such as meeting at a client office or project site for material drop-off, prep, etc.

General Counsel Support:

  • Reviewing surveys, title commitments and exception documents.
  • Preparing documents relating to a variety of real estate, loan and construction matters, based on consultation with business clients and review by General Counsel, including those related to purchase and sale agreements, leases, loan documents, and standard construction contracts.
  • Preparing ancillary real estate transaction documents such as escrow instructions, deeds, easements, owner’s affidavits, closing certificates, etc.
  • Providing general assistance in real estate, lending, construction and leasing transactions.
  • Proofreading legal documents to ensure accuracy and consistency.
  • Analyzing and summarizing documents for review by General Counsel.
  • Working closely with General Counsel to resolve a variety of day-to-day issues and supporting a broad range of commercial transactions and projects.
  • Performing legal due diligence.
  • Drafting and organizing operating agreements.
  • Preparing and filing various documents, certificates, statements, amendments and forms.
  • Forming limited liability companies and other entities.
  • Preparing and tracking closing checklists and transactional documentation from letter of intent through completion of closing binder.
  • Organizing and coordinating closings, post-closings, and file management.

Qualifications:

  • Minimum of five years of experience as a real estate paralegal.
  • Contracting expertise related to real estate, construction and leasing transactions.
  • Operate independently with minimal supervision.
  • Work requires independent judgment and initiative on assignments that may be time sensitive in nature
  • Ability to manage multiple assignments, set priorities, and adapt to changing conditions
  • Be a results-driven achiever with excellent organizational skills
  • Ability to show and demonstrate on a consistent basis initiative, professionalism, poise and flexibility and work within a fast-paced environment of multiple priorities
  • Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external clients
  • Must be an exceptional listener and communicator who effectively conveys information verbally and in writing
  • Highly developed written communication skills, including report writing, presentations, email correspondence
  • Dependability, dedication, and independence
  • Proficient in MS Office Suite and MS Teams
  • Basic AV-IT understanding on how to set up and operate different conferencing software (Zoom, Google Meet, Microsoft Teams, etc.), setting up a virtual meeting in advance in any meeting space, manage screen share, manage cloud documents, etc.

Salary range: $100,000 - $120,000 depending on experience.
