San Jose ConservationCorps is Hiring an Executive Assistant to the CEO Near San Jose, CA

Position title: Executive Assistant to the CEO
Department: Administration
Reports to: Executive Director
FLSA Status: Full-time/Nonexempt
Compensation: $25.50 to $31.25 per hour 
Position Summary:
The Executive Assistant will be working with the nonprofit CEO to provide administrative support to the CEO, Board of Directors, and other executives. This position requires a highly-motivated and skilled professional who will perform a wide range of administrative support-related tasks that require a strong attention to detail. In addition to managing the CEO’s daily calendar, travel arrangements, and standing or ad-hoc meetings, the Executive Assistant will have the several essential duties and responsibilities detailed below. 
Job Duties
  • The complete responsibility of CEO calendar, meetings, and meeting briefs/agendas (including maps and other attendee information), correspondence (regular mail and e-mail), and contacts in an accurate, professional, and timely manner;
  • Closely monitor and prioritize all inbound information (emails, calls, etc.) and tasks for the CEO;
  • Regularly draft emails and correspondence and take minutes at meetings. Edit letters and emails drafted by the CEO as needed;
  • Support Board of Directors, committees, and members by coordinating schedules, taking board minutes, maintaining legal records, and other administrative tasks;
  • Maintains Company organization charts and the staff directory updates;
  • Regularly interact with other executives, elected officials, and their staff to coordinate meetings with the CEO, assemble documents, and assist with cross-functional projects;
  • Manage travel arrangements and prepare and process expense reports for Executive Team. Manage agency-wide travel arrangements and ensure proper approvals are obtained;
  • Prepare timely reports, agendas, and presentations for staff functions, and other meetings, and maintain records and files of current and past projects, operations, and decisions; 
  • Process and responds to all documents requested by outside agencies regarding employment verifications;
  • Assist with the planning and coordination of special projects and events;
  • Provide support to other Executive Team members including scheduling appointments and other administrative tasks as needed;
  • Provide administrative support and office administration tasks as needed, i.e., telephone coverage, copying, mail, etc.;
  • Participate in agency Program Quality Improvement activities and initiatives;
  • Participate in agency Safety initiatives and proactively report safety issues to management immediately
  • Regular attendance is a requirement of the position;
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks and participating in professional societies;
  • Other duties as assigned.
Minimum Qualifications:
  • High school diploma;
  • At least 3 years of experience supporting executives and their teams;
  • Excellent attention to detail, multi-tasking, organizational, interpersonal, writing, and verbal communication skills are essential; 
  • Experience interacting with and supporting the Board of Directors or government commissions;
  • Strong computer systems experience including expert level in Microsoft Word, Google docs, Google Calendar, Adobe Acrobat, PowerPoint, Excel, and the ability to learn other programs quickly;
  • The judgment to prioritize duties during periods of high activity required;
  • Ability to maintain a high level of discretion, confidentiality, and professionalism;
  • Valid California driver’s license with access to a personal vehicle with current insurance that can be used for company business;
  • Fingerprinting/background check as required by the Department of Justice and/or Title XXII regulations.
Salary and Benefits
  • Salary range from $25.50 - $31.25. The salary is based on a level of experience and education that significantly exceeds the minimum requirements and is commensurate with the compensation scale.
