San Francisco Parks Alliance is Hiring an Administrative Coordinator Near San Francisco, CA

Position Summary

The Administrative Coordinator assists the Senior Administrative Manager (SAM) in San Francisco Parks Alliance administration systems and general workflows. This includes, but is not limited to office services, facilities, communications, and promoting efficiency. The Administrative Coordinator provides administrative support and customer service for the organization and fiscally sponsored projects.

Duties And Responsibilities

Facilities (40%)

  • Facilities Maintenance at SF Parks Alliance’s main office at 1074 Folsom
    • General office maintenance & facilitation
      • Oversee security alarm codes and video surveillance
      • Act as liaison with landlord
      • Manage cleaning vendor 
      • Order and maintain office supplies
      • Maintain office equipment
      • Schedule e waste and office clean-up projects
      • Maintain break room/kitchen
      • Schedule and oversee annual safety inspections
      • Pick up, sort, and distribute mail
      • Assist with annual insurance renewals
      • File and manage records
      • Office key assignment
      • Name tags/ business cards
    • With the Senior Administrative Manager and HR Manager, oversee Health & Safety protocols and hybrid workspace organization
      • Implement COVID related protocols
      • Organize and maintain Hybrid work model
      • Assist with conference rooms scheduling

Information Technology Systems (40%)

  • IT hardware, IT software, accounts, and systems management
  • Organize and maintain data and filing systems within existing tools such as
    • Google Suite
    • Shared Drive
    • Physical filing cabinets
  • Provide administrative support for organization-wide accounts such as
    • Vonage
    • DocuSign
    • Zoom
    • Amazon
    • GMass
  • 1Password
  • Assist with Salesforce and related programs
    • Create and onboard new users and troubleshooting issues with log-ins and application access
    • Support data entry needs for the Organization
  • With the SAM, work with TechBrains, SF Parks Alliance’s IT consultants
    • Order, assign, request computer(s) 
    • Manage new and open tickets
    • Manage orders and ensure on-time payments for hardware and software
    • Assist with the onboarding/offboarding process

External Communications (15%)

  • Represents organization to callers and visitors in a friendly and professional manner
  • Manage the general information email and phone number for SF Parks Alliance

Administrative Support (5%)

  • Handle various duties assigned by the Senior Administrative Manager
  • Assist with annual audit as needed

Requirements

Qualifications

  • 2 years minimum experience administrative and/or office management duties
  • Computer software skills
  • Familiarity in Salesforce, Research Point/Target Analytics, Google products/platform, and common office software platforms
  • Excellent written and verbal communication skills
  • Valid driver's license required
  • Able to think strategically, keeping the big picture and broad institutional objectives in mind, while also being detail and analysis-oriented
  • Exemplify highest standards of integrity, professionalism, discretion, excellence and accountability; demonstrates emotional intelligence and self-awareness; inspires confidence and trust; welcomes feedback
  • Highly collaborative; a leader and team player able to motivate and organize staff and volunteers and bring together different departments within the institution to work towards shared goals; appreciates impact of his/her/their work on colleagues and SFPA's success

Position Specifications

Title: Administrative Coordinator

Reports to: Senior Administrative Manager

Department: Finance & Administration

Location: This position is approved as a hybrid position both remote and in office. Co-Lab is located at 1074 Folsom Ave. SFPA supports remote work by providing employees with a laptop, cloud-based systems, and frequent team connection. 

Preferred Start Date: As soon as we find the right candidate

Schedule: Full-time, exempt (ineligible for overtime), typically 40 hours/week, Monday-Friday with occasional evenings and weekends as needed. 

This position will be expected in the Co-Lab (1074 Folsom Ave.) at least 2-3 times per week and easily commute to Co-Lab during emergencies.

SF Parks Alliance offers competitive market-based salaries which are commensurate with experience, skills, industry, and organizational budget as well as a comprehensive benefits package that includes a generous vacation policy, medical, dental, vision, chiropractic/acupuncture, commuter benefits, a flexible spending account, Basic Life/AD&D insurance, and 401(k) employer contributions. Based on comparable regional non-profit market data this position is benchmarked at an annual equivalent starting salary range of $63,122 -72,004.
