Overview

The Accounts Payable Clerk will be responsible for recording invoices for services rendered by multiple properties handled by the centralized office in accurate and timely manner; ensuring all invoices have been reviewed, approved and coded in accordance with the uniform system of accounts for lodging industry and HEI Hotels and Resorts Standards.

Responsibilities

• Maintain all vendor files in easily accessible and consistent manner.
• Verify that all invoices have been properly reviewed by the properties management, coded and approved for payment according to HEI standard operating procedures.
• Process invoices into the accounts payable system timely and accurately.
• Balance accounts payable to the general ledger on a daily basis.
• Process checks on a weekly basis.
• Reconcile vendor statements to ensure no invoices have been missed and the properties are in good standing with the vendors.
• Maintain critical vendor lists for each property to ensure timely payments.
• Administration of W-9s and 1099s
• Maintenance of Certificates of Insurance
• Follows month end closing schedule including the preparation of the month end AP reports.
• Promotes internal controls and stay up-to date with accounting concepts, practices and procedures.
• Resolves and provides answers for all accounts payable related inquires.
• Support and promote continuous improvement in processes and procedures.
• Maintains professional level of service to both internal and external customers.
• Assists with special projects and task as assigned.
• Perform any other job related duties as assigned

Qualifications

• High School Graduate or General Education Degree (GED). Associate's Degree in Accounting preferred.
• Accounting and Hotel experience strongly preferred.
• Strong organizational skills
• High attention to detail.
• Ability to work independently and multitask.
• Proficient with Microsoft applications, particularly Microsoft Excel.
• 10 key by touch
• Type 40 words per minute
• Strong written and oral communication skills
