Roland Park Country School is Hiring a Temporary Executive Assistant to the Head of School Near Baltimore, MD

GENERAL SUMMARY:
The Temporary Executive Assistant to the Head of School reports directly to the Head of School ("Head" or "HOS"). The Head of School supervises a Leadership Team of direct reports who in turn lead and direct all areas of the school community. The Temporary Executive Assistant to the Head of School serves to support and enable the Head of School to be effective, efficient, highly informed, and able to maintain a visionary and strategic posture in her leadership of the school. This individual will work closely with the Head in a variety of responsibilities and will also interface with the Leadership Team, Trustee Members, Alumnae, Parents, Staff, Faculty and Students.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Head of School
  • Serves as the first point of contact for all individuals wishing to be in touch with the HOS.
  • Helps maintain and coordinate the Head of School's daily schedule.
  • Reviews the All-School calendar (myRPCS) and adds important events to Head's calendar.
  • Focuses on the office support and attention to detail that facilitates the smooth operation of the Head of School's office.
  • Works with the Assistant Head of School for Academics and Programs to maintain and update the All-School Calendar.
  • Schedules event room usage.
  • Works with Alumnae and Development Office to coordinate development visits with Head of School.
  • Oversees the Head of School's visiting calendar and coordinate travel.
  • Coordinates food service arrangements and other pertinent details for HOS meetings held on campus.
  • Opens and processes Head of School's incoming and inter-office mail and assists Head of School in responding to mail, memos, etc.
  • Answers telephone calls to the Head of School, takes messages, and answers inquiries when appropriate.
  • Compiles data as needed for the Head of School.
  • Conducts preliminary research as needed.
  • Works on other projects, reports, and assignments to assist the Head in executing her responsibilities and/or as delegated by the Head of School.
All School Support
  • Coordinates with the All-School Teams and the Chairs of each team on status updates for larger initiatives.
  • Assists the Human Resources team with tasks as appropriate.
  • Assists with major projects such as the coordination of the planning and meeting schedule for the next Strategic Plan.
  • Supports initiatives that impact the whole school, as designated by the Head of School (for example, the next Strategic Plan).
  • Where needed, assists with calendar and room reservations, making sure to check for potential conflicts.
  • Serves as a key member of the Calendar Committee.
  • Supports Division Heads and Assistant Head of School for Academics and Programs with any employee hires that run through their offices.
Trustees
  • Assists and supports the Head of School with Trustee matters including but not limited to:
    • The new Trustee orientation program.
    • The annual fall Trustee Retreat.
    • Board and committee meetings.
  • Attends Board meetings to take minutes and to help the Head follow-up after these meetings.
  • Compiles, maintains, and distributes information pertaining to and/or mailings to the Board of Trustees.
  • Maintains, updates, and distributes the Trustee Directory and Trustee Orientation Handbook each year.
  • Coordinates with the Head of School on all trustee meetings and events.
  • Prepares calendar for all trustee meetings.
Faculty/Staff Responsibilities
  • Communicates with faculty via e-mail on behalf of the Head of School.
  • Schedules standing employee appointments and meetings with the Head.
  • Prepares other start of school year materials for new and returning faculty and staff.
  • Responds to, files, and circulates resumes.
  • Schedules visits for job candidates.
REQUIRED SKILLS/ABILITIES:
  • Ability to work independently and follow through on assignments with minimal direction or supervision.
  • Demonstrates excellent time management, administrative, organizational, observational, and customer service skills.
  • Ability to communicate clearly and effectively, both orally and in writing. Follow oral and written instructions.
  • Excellent proofreading and writing skills.
  • Ability to establish and maintain effective working relationships with other employees, and the general public.
  • Advanced computer skills and experience with electronic email, MS Office applications and Google Suite required.
  • Ability to react decisively and with good judgment to problem solve.
  • Maintains a positive attitude and performs well under pressure.
  • Ability to support the HOS whether she is present in the office or away from the office.
  • Must be able to handle sensitive information professionally, with integrity, and in confidence.
  • Ability to work extended hours and be responsive as needs arise after business hours.
REQUIRED EDUCATION AND EXPERIENCE:
  • Any combination of education, training, or work experience equivalent to a high school diploma. Bachelor's degree in a related field preferred.
  • 2 years' experience in an administrative support role, executive level experience highly desired.
  • Valid MD driver's license required.
PHYSICAL REQUIREMENTS:
  • Must be able to remain in a stationary position that involves sitting at a desk or working on a computer for extended periods of time.
  • Dexterity of hands and fingers to operate a computer keyboard.
  • Physical ability to engage in significant climbing, stooping, kneeling, bending, squatting, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, ascend/descend stairs, or repetitive motions.
  • Seeing to read a variety of materials.
  • Ability to lift up to 25lbs.
WORK CONDITIONS:
  • This is a full-time, temporary assignment for a period not to exceed 5 months.
  • This position is effective June 28, 2023, through approximately October 31, 2023. Depending on office needs, there may be an extension of the temporary assignment.
  • As a condition of employment, all employees hired after August 1, 2021, are required to be fully vaccinated for COVID-19 and be able to provide proof of such vaccination.
  • Typical work schedule of 8:00 a.m. - 4:30 p.m., Monday through Friday.
  • Occasional extended hours may include evenings and holidays, as business needs require.
  • Occasional work outdoors.
BACKGROUND CHECK:
A background check (including criminal records and employment history review) must be completed satisfactorily before any candidate can begin work with RPCS. Failure to satisfactorily complete the background check may affect the application status or start of employment.
TRAVEL REQUIRED:
Frequent local travel may be required.
