SCOPE OF ROLE:

Primarily responsible for managing the Accounts Receivable process after invoice creation through payment. This individual will be responsible for processing credit card payments, applying cash to customer accounts and reconciling to cash received daily. This person will also be responsible for maintaining and administering our customer invoicing software by assisting and responding to customers and transitioning customers onto our software, when possible. They will contact customers regarding past due balances, skipped invoices, or unauthorized short payments. They will also work with the sales team and management to escalate any collections issues. This person will provide insight and ideas on process improvements and actively participates in team meetings and discussions.

KEY RESPONSIBILITIES:

• Cash Application Process
  • Act as the administrator for our customer invoicing software (VersaPay) by adding, maintaining and assisting with training of employees and customers
  • Charge customer credit cards upon invoicing of orders (or direction from customer service) for credit card customers or customers without terms
  • Ensure that all funds received into the bank (ACH, Lockbox, Checks, Cash & Wires) are applied to customer accounts daily
  • Manage the AR inbox by responding to inquiries and completing customer and sales team requests
• Collections Process
  • Research and resolve short payments, over payments, and other payment issues with internal personnel and/or customers
  • Monitor VersaPay past due customer notifications and contact customers regarding past due balances and skipped invoices per company policy
  • Escalate any unresponsive customers to the Sales and/or Management team
  • Prepare monthly reports on past due accounts to provide to and meet with management to discuss next steps
• Credit Process
  • Review new credit applications and pull applicable documentation/reports to grant terms or to pull information to provide to management to grant terms, based on company policy
  • Review orders on credit review to determine the solvency of the account and either release the order or work with the sales team and/or management to determine next steps required to release the order per company policy
  • Monitor accounts and payment history and make recommendations for credit limit changes and accounts to be put on credit hold
• Other tasks
  • Participate in and contribute to regular team/company meetings and on various team/company projects
  • Complete other tasks and reports as requested

KNOWLEDGE, SKILLS AND ABILITIES (KSA’s):

• Associate degree in related field is recommended
• Three to five years of experience in accounting or related field
• Great customer service/people skills
• Highly analytical with great business acumen
