Who You Are

We’re looking for a talented individual to fill the role of Purchasing Coordinator. You will be responsible for bidding out work to subcontractors, managing all contracts and purchase orders, reconciling purchase orders and invoices, ensuring purchase orders stay within the project budget, and work with the Production Manager to ensure contractors are performing well. Ideally, you will enjoy learning new systems and processes, working with numbers and accounting concepts, and feel a great sense of accomplishment when completing very detailed tasks accurately. The ideal person will also have a good understanding of general accounting principles and will be familiar with programs like Microsoft Word, Excel, Outlook, and other purchase order systems. To excel in this role, you will need an advanced level of mastery with Excel (i.e., formulas and shortcuts.) You will work closely with the design team to identify and address any estimating and purchasing issues as they occur, and strategically offer solutions.

This role will work from 7:30AM – 4:30PM EST in our Jetersville, VA office.

What You Will Work On

  • Pre-qualify subcontractors
  • Prepare and issue purchase orders and subcontracts
  • Manage contracts and purchase orders for all trades and subcontractors
  • Expedite purchase orders and subcontracts as necessary
  • Purchase materials according to project needs
  • Ensure material availability through accurate purchasing and follow up
  • Review vendor qualifications to ensure they meet prescribed company standards
  • Resolve accounting, purchasing and vendor contract discrepancies through review and reconciliation
  • Work closely with subcontractors and vendors to receive proper proposals
  • Strive to complete projects below assigned budget, and continuously seek ways to reduce construction cost and streamline processes
  • Work alongside estimating department to guarantee budget costs are accurate
  • Create reports as requested

Qualifications

  • Advanced knowledge of Microsoft Word, Excel, and Outlook
  • At least 2 years of administrative experience required
  • Experience in accounting or accounts payable departments preferred
  • Capable of managing multiple, simultaneous projects
  • Adaptability and technical acumen to learn a variety of software programs
  • A high level of accuracy when working with data entry and attention to detail
  • Excellent communication skills
  • Willingness to learn and adapt to working in a fast-paced environment
  • The ability to multitask and self-manage your workday
  • The ability to pass a drug screening

The salary range for this position is $35,000-$45,000. Actual compensation will be based on multiple factors that are unique to each candidate, including and not limited to skill set and level of relevant experience.
