SUMMARY

The Human Resources Specialist works in a generalist capacity within an assigned functional area(s) to provide human resources expertise to that organization in all aspects of the human resource function. The Human Resources Specialist reports directly to the Director of Human Resources.

As a Human Resources Specialist, the following is expected at all times:

  • Maintaining favorable and effective relations among associates and managers.
  • Motivating and stimulating supervisors and managers to ensure consistent, equal and fair treatment of their associates by representation of company's preferences and policies.
  • Ensure open lines of communication with the ultimate goal of bringing support to the operations of the business.
  • Appropriate level of confidentiality with respect to associate, management, and all issues pertaining to Human Resources. Must be aware of sensitive information, therefore utilizing care and discretion among daily duties.

SPECIFIC RESPONSIBILTIES

Recruitment & Selection

  • Oversee the recruitment and selection process including:
  • Recruitment for hourly and management positions.
  • The use of company-developed guidelines in the interview and selection process
  • Conducting reference and/or background checks
  • Administer new hire paperwork, including obtaining proper identification and proof of employability.

Payroll

  • Process Weekly Payroll including entering in paid time off, checking for approvals, import of hours, processing cash tips, 3rd party disability payments etc.
  • Process mandated garnishment orders.
  • Assist with employee data updates including but not limited to; position changes, rate changes, earnings/deductions changes
  • Responsible for weekly time card audit reports to check for lunches, spread of hours etc. and communicating errors to Director of Human Resources.
  • Responsible for running audit report on fixed punches on a weekly basis to verify receipt of time card edit logs.
  • Complete Vacation Accrual spreadsheet.

Employee Relations

  • Foster a trusting and open environment with all associates
  • Assist in facilitating Employee Recognition programs including FISH drawings.
  • Assist the Director of Human Resources as needed to investigate problems incidental to sound and consistent human resources administration, such as working conditions, disciplinary action and associate/applicant appeals and grievances.

Benefits

  • Be an expert in all benefits available to associates. Human Resource Specialist will act as benefits counselor and administrator to management and associates.
  • Responsible for sending out eligibility letters and enrolling newly eligible employees.
  • Responsible for tracking enrollment forms and waiver forms for eligible employees.
  • Assist in Open Enrollment periods for all benefits offered
  • Responsible for tracking 401K eligibility and send out appropriate eligibility notices
  • Look over monthly invoices to check for accuracy.

Compliance

  • Assist in accurate and timely distribution of all Benefit Compliance notices throughout the year including but not limited to; Summary Plan Description, Summary Material Modification, Medicare Part D notices, Plan Summary etc.

Safety

  • Ensure company safety policy is adhered to including the reporting and investigation of the associate accidents.

Training

  • Assist Director of Human Resources in all employee training including FLEX account and trainings in FLEX such as Sexual Harassment and Social Media training.

Administration

  • Assist Director of Human Resources with Child Support Orders, Unemployment, Workers Compensation, Employment Verification and Disability claims as necessary.
  • Company contact for all Computer Access enrollments and Email Group updates.
  • Maintain accurate and complete associate personnel files.
  • Assist in maintaining all records in accordance with all State and Federal guidelines.

Additional Responsibilities

  • Act as United Way Coordinator for RIT.
  • Compile notes and attend Monthly Manager Meeting, take notes and distribute.
  • Performs other duties as may be assigned of which the associate is capable of performing

Knowledge, Skills & Abilities

  • Knowledge of principles, practices and procedures of human resources administration
  • Ability to plan, coordinate and direct own work, engage in various professional, technical and clerical functions of human resources administration.
  • Knowledge of applicable labor laws
  • Working knowledge of computers including Microsoft Office.
  • Excellent interpersonal and communication skills.

This is a Full Time position, Monday - Friday, traditional business office hours (8:30am - 5:00pm).
