We are accepting applications for an Office Coordinator for our offices in Sacramento, CA
Our office coordinators are the ones that make sure the offices run smoothly. You will work collaboratively with the team of project managers, regulatory specialists, Client Solutions Managers, and Land Representatives, and will be supporting the General Manager of the region. You will be part of a culture of change and growth where initiative-taking, quick adaptation to change and feedback-seeking are part of our DNA.
30% of your time, you will be coordinating support services with project managers – reporting through data entry, typing, project documentation control, coordinating travel arrangements, and handling special report production assignments. You will be using a lot of Microsoft Word, Excel, and Outlook, so proficiency in these is required.
20% of your time, you will be supporting the recruitment effort, onboarding process, and coordination with HR.
40% of your time will be dedicated to administrative issues, - serving as a receptionist; managing/distributing mail; maintaining the field and office supplies; organizing fleet vehicle maintenance; scheduling meetings, seminars, and conferences, as well as making catering arrangements as needed. Your main goal is to ensure the office is running smoothly, so filing documents, invoices, contracts, sorting, and distributing mail to the recipient are important parts of the day-to-day duties. Since you have many internal clients, the ability to handle multiple tasks and prioritize is necessary.
The rest of the time, you will handle special administrative projects and assist staff with internet research and preparation of presentation materials.
