Executive Assistant
The key purpose of this position is to provide support to the CEO and Board of Directors by handling all related matters with the highest level of professionalism, confidentiality, privacy and sound judgment.
What you will do...
  • Continuity of Communication: Assist CEO in maintaining a consistent voice and communication/engagement emphasis throughout all interactions internally and externally to ensure the Office of the CEO is appropriately and consistently represented to internal and external stakeholders.
  • Meeting Coordination and Preparation: Thoroughly prepare for meetings (all facets inclusive of technology, attendees, creation of agendas, etc.), take meeting minutes, and ensure action items are resolved timely to ensure the Office of the CEO is appropriately and consistently represented to internal and external stakeholders.
  • Board Meeting Preparation: Facilitate all facets of board meeting, including preparing board packages and taking minutes. Also facilitate various events such as the board planning sessions, special board meetings, retreats and company events, inclusive of annual company-wide event and maintain corporate filing and record keeping systems that support bylaws, policies, budgets and minutes.
  • Communication: Act as the primary point of contact between the CEO and internal/external stakeholders. Responsible for creating memoranda, reports and presentations as well as composing and editing email communication. Also responsible for screening and prioritizing emails, calls and messages.
  • Project Support: Assist in special projects, research initiatives and create presentations, providing administrative support as needed.
  • Reporting: Responsible for compiling and preparing monthly statistical and written reports, and maintaining spreadsheets and reports as needed at the direction of the CEO.
  • Relationship Management: Build and maintain positive relationships with internal teams and external partners and vendors on behalf of the CEO.
  • Confidentiality: Handle sensitive and confidential information with integrity, discretion and professionalism at all times.
  • Expense Management: Track and reconcile expenses, prepare expense reports on behalf of the CEO and Board, and manage invoices and reimbursements for the CEO and Board.
  • Office Operations: Oversee office supplies, equipment and facilities, ensuring a well-maintained and efficient work environment.
  • Calendar Management: Take responsibility for CEO's calendar, inclusive of scheduling meetings, appointments and travel.
  • Travel Coordination: Facilitate CEO and Board conference and business travel arrangements.
What you need...
  • Committed to providing an exceptional service experience to internal and external customers
  • Excellent verbal and written communication skills
  • Discretion and good judgment in confidential situations, and proven experience interacting with senior management
  • Advanced training in Microsoft Word, Excel, and PowerPoint
  • Excellent telephone etiquette and ability to manage competing priorities
  • 5 years of relevant experience
  • Associates Degree or equivalent
