Operations Manager

Position Title:  Operations Manager

Organization: ReDefiners World Languages

Department: Operations

Position Status: Full-Time; 40 hours

Work Schedule: Mondays, Tuesday, Thursday 11:00 AM - 6:00 PM; Wednesday & Friday 12:00-8:00 PM; Saturdays 10:30 AM - 1:30 PM (3 hours)

Who Are We?

ReDefiners is a pioneering non-profit organization with the goal of developing a compassionate community of global citizens, who are both economically and socially responsible, through world language and cultural enrichment. Education in global communication is paramount in developing cognitive skills, creating opportunities for upward mobility, and establishing a foundation to excel in an ever increasing globalized society. We strive to provide local language learning opportunities in Arabic, Spanish and Mandarin through our enrichment program to our children regardless of socioeconomic background.

Position Description: Our expanding organization seeks to hire a full-time Operations Manager (OM) to join the ReDefiners World Languages team. The OM will play a key part of the organization and will help to implement the vision of the Executive Director and Leadership Team, as directed by the Board of Directors. The OM will oversee the day-to-day operations of the organization, including management of the office, human resources, while supporting the finance and development teams, as necessary. This position requires analysis and improvement of organizational processes to improve quality, productivity and efficiency. This position reports to the Executive Director.

Duties & Responsibilities:

Day to Day Operations:

  •  Oversee office management; 
  •  As directed, help to develop, implement and review operational policies and procedures;
  • Help promote an organizational culture that encourages top performance and high morale;
  • Supervises Office Assistants and manages time sheets;
  • Provides bilingual (English/Spanish) phone, email support and in-person support to current/prospective participants and partners;
  • Manages office equipment, supplies & supports staff in accessing resources;
  • Manages data entry in Salesforce Database of participant and partner leads;
  • Collaborates with Program Coordinator and Program Director to ensure office staff are up to date on program schedules, changes, and requirements;
  • Gather and disseminate “Good News” across departments to share internally and externally;
  • Gather content for Annual Report across departments;
  • Acts as agency delegate/representative in ED’s absence
  • Additional duties and responsibilities may be assigned

Human Resources

  • Help manage recruitment, hiring, orientation of employees;
  • Manage off-boarding process for employees
  • Manage employee recognition and incentive programs
  • Monitor collection and documentation of professional development activities for all staff in HR records
  • Spearhead professional development activities for Office Staff
  • Assist team leads with implementation and tracking of Annual Performance Reviews for all team members
  •  Ensure all legal and regulatory documents are filed and monitor compliance thereof for new hires.

Finance/Development:

  • Assists Finance Manager and Executive Director by maintaining organized digital copies of organizational/programmatic expenses
  • Supports Development Team by identifying In-Kind donation opportunities;
  • Assists and supervises Office Team in supporting donor cultivation and nurturing efforts, as needed

Requirements:

  • Bilingual; Proficient in English and Spanish 
  • Preferred 1-year related experience 
  • Strong interpersonal, organizational, and communication skills
  • Strong Initiative and Autonomy: Accepts and carries out current and new responsibilities through resourcefulness and self-reliance.
  • Strong Planning, Organizing, and Time Management Skills: Arranges work so that it can be executed in a timely manner within specifications and budget; prioritizes and effectively utilizes resources.
  • Strong Problem Solving and Decision Making Skills: Understands factors and develops sound, timely, and practical solutions to daily challenges; demonstrates ability to critically evaluate impact of decision making on others.
  • Detail oriented
  • Able to multitask
  • Working knowledge of databases (Specifically Salesforce)
  • Able to communicate enthusiasm about mission

Compensation: $30,720 - $34,560 Annually
