Salary Range: $80,728 - $90,819

Location: Remote

Position Summary

The Project Administrator, an Associate position in the Department of Finance and Operations, exists to provide key project and administrative support to the Senior Vice President of Finance and Operations in their various duties involving Finance & Operations management to include organizational-wide organizational change, growth, and stability. This position is integral to ensuring project management and documenting organizational efficacy. The Project Administrator will provide project management and administrative support to ensure we can provide the highest quality strategic partnership and core services. This position will involve plenty of planning, time management, monitoring progress of projects, and communicating with stakeholders to ensure all are informed on status and progress.

Duties and Responsibilities

Works under the direction of the Senior Vice President of Finance and Operations to:

  • Provide planning and administrative support for projects and programs with and within the Office of Finance and Operations including managing presentations, calendars, agendas, and notetaking.
  • Supports tracking and recording activities and progress on Finance and Operations projects and initiatives.
  • Creates and manages a database of partners, providers, and vendors.
  • Management and reconciliation of project budgets.
  • Performs other program and administrative support duties as assigned

Competencies

  • Requires specialized and intermediate knowledge of project management in order to gather, organize, verify, compose, and/or analyze established concepts, policies, and procedures, and terminology in the completion of several multi-step procedures.
  • Demonstrates a thorough working knowledge of administrative support.
  • Possesses solid understanding of the related department/field existing policies and procedures.
  • Has the ability to analyze alternatives and determine the most effective course of action.
  • Typically requires up to 3-5 years of relevant work experience.

Contribution & Impact:

  • Errors/omissions are usually identified and corrected before projects or daily operations are negatively impacted.
  • Errors/omissions have a limited impact on department operations, and typically do not require additional resource allocation to complete the task or project.
  • Impact has an organizational-wide focus.

Work Complexity:

  • Work assignments and problems may be routine or are mostly non-routine, requiring some significant application of analytical thinking and independent judgment.
  • Several alternative courses are available, in addition to some detailed procedures.
  • Work decisions are typically confined within the limits of defined policies; however, the job may include the identification and implementation of process improvements or tools.
  • Non-routine work is frequently reviewed by the immediate supervisor.

Communication/Influence:

  • Requires sufficient verbal and written communication skills to convey factual based information to others that are typically knowledgeable about projects and specific finance and operations inquiries.
  • Gathers and exchanges information that may not always be routine.
  • Requires the ability to respond to detailed and somewhat complex inquiries from others that may not be fully knowledgeable in the subject area.
  • Interpretation may be required.
  • May be asked to coordinate efforts with individuals in other work areas outside the work area, which requires a basic understanding of other areas of the organization.
  • Requires tact in handling external conflicts.
  • Serves as team member and may lead a project team.

Work Complexity:

  • May facilitate daily administrative activities or operations, using initiative in adopting, combining and/or improving programs, processes, services, etc.
  • May be responsible for basic financial management activities such as monitoring project budgets and performing basic reconciliation on straightforward reconciling accounts, such as a purchase card.

Qualifications and Experience

This position requires an expert level of experience. That experience can be a combination of school and work time but without the wisdom gained from doing the job in prior circumstances and environments, the administrator will not be able to make quick decisions and instinctively know what needs to happen next. There is a degree of aplomb, confidence and finesse that only comes with years of career knowledge. In addition, the candidate must possess:

  • Strong commitment to Race Forward's vision and mission.
  • A combination of a Bachelor's Degree, and 3 to 5 years of experience project management or supporting executive management in a nonprofit setting or 8 years experience in lieu of Bachelor's Degree.
  • Excellent writing and verbal communication skills.
  • Strong organizational and analytical skills.
  • Results-oriented with proven ability to manage multiple projects
  • Strategic thinking dedicated to achieving positive outcomes

Additional Information

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
