Number of Openings 1 Time Type Full time Job Description Utilizing fundamental concepts, practices, and procedures to provide administrative support to all plant personnel with a wide emphasis of clerical and office duties under general direction. Assignments will vary and may be limited in scope to include fairly routine to moderately complex duties. Specific duties may vary by department or the plant assigned. What will you own? General Administrative Duties – estimated time spent but will vary/30% Provide high-quality administrative, project and accounting related support, while successfully working on multiple deadline-driven tasks. Produce technical documents, reports, proposals, and presentations, including advanced word processing, formatting, proofreading and production. Create and/or edit documents in Microsoft Office (MS Word, Excel, PowerPoint, MS Project). Provide operational and administrative support to leverage the Plant Manager’s role to include office space oversight (office organization, building maintenance issues, and work distribution coordination/reporting). Manage office support needs, including project filing, maintaining office equipment, office supplies, and meeting coordination. Coordinate with headquarters and other regional support teams to implement new tasks/systems/procedures locally, including Accounting, Finance, Human Resources, IT, etc. Answer phones and direct/assist incoming callers in a professional manner. Complete work assignments on schedule, in accordance with the company’s management system, format and quality standards. Greet employees, visitors, and customers while assisting with routine inquiries and requests providing basic customer service. Maintains, updates, retrieves files, forms, inventories, and logs. Receives, sorts, and distributes mail and other documents. Assists in gathering information and preparing documents for other staff members, prints, and photocopies documents and/or delivers documents to employees and management team. May assist in contacting vendors and soliciting bids. May assist specific tasks in the training of personnel. Performs other related duties as assigned. Accounting Related Duties – Estimated time spent but will vary/70% Act as a liaison for the plant management team and to manage internal controls including process for measuring plant performance, audit services, and ensuring integrity and validity of internally and externally disseminated information. Assist management team with plant site budget set-up, change orders, close out forms, and work orders using CMMS system. Develop and maintain budgets to interface with corporate budgets. Coordinate information to develop project cost estimates. Coordinate information to maintain the monthly budget forecast based on actual to-date information. Coordinate information to develop and maintain progress reports. Monitor and process vendor and contractor change order requests for disposition. Develop plant performance indicators for routine submittal to the corporation Develop cost forecasts for submittal to the corporation. Maintains, monitors, and processes invoices and purchase orders. Maintains inventory records for accounting related documents. Maintain plant accounting activities that may include, but is not limited to petty cash, accounts payables, coding and vendor set up required to support accounting systems. Performs other related duties as assigned. What you have: Requires basic accounting methods and techniques and the ability to apply both in problem solving. Comprehensive understanding of the metrics, revenue recognition, billing and financial management systems. Must exhibit independent judgment to complete tasks that occasionally require non-standard solutions. The ability to handle multiple tasks, difficult and challenging situations, while managing priorities is needed. Knowledge of contract administration Strong computer skills in Microsoft Office, MS Excel is a must, MS Project a plus. Modern office practices, procedures and methods including filing and the operation of standard office equipment. Ability to manage and coordinate multiple project assignments simultaneously in a deadline driven environment. Excellent communication skills (both written and verbal). Work in a team-based environment and achieve common goals. Develop and maintain effective working relationships with a variety of levels of personnel during the normal course of business. Valid Driver’s License BS Degree in Business related field and/or engineering related areas. Experience may offset educational requirements if in an industry related field. Strong experience in cost controls and business reports preparation. Strong communication skills Strong computer skills, (minimum 2 years using Word, Excel and E-mail) Strong familiarity with accounting and accounts payable system Why Talen Energy?
