Responsible for creating, soliciting, promoting, planning, and executing exciting, successful, and profitable onsite and off-site events. Most importantly, this position requires the utmost cooperation and collaboration with other departments in the organization. Responsibilities include but are not limited to: Meeting with clients to explain and finalize event specifications and collect any required deposits and documentation; requisitioning equipment and supplies for each event; ensuring that each event is planned to conform to the agreed-upon banquet event order (BEO). Ensure the customer is accurately invoiced and collects monies as prescribed in the event contact. As part of your responsibilities, you will participate as a member of the President's Management Team and play an integral role in developing and executing short-term and long-term strategic plans. 

Job Specific Responsibilities

  • Manage the Events Department staff.
  • Responsible for every part of event preparations, including but not limited to creating Banquet Event Orders (BEOs), finalizing reservations, meeting with clients to explain and finalize event specifications and collecting any required deposits and documentation; requisition equipment and supplies for each event; ensuring that each event is planned to conform to the agreed-upon function sheet; verifying meal selections, choosing venues, developing site plans, ensure that the customer is accurately invoiced, and collect monies as prescribed in the event contact, and evaluating success afterward and make any necessary changes affecting similar events moving forward.
  • All event coordination and collaboration must use company-approved software platforms, including but not limited to Google Suite, Smartsheets, and Honeybook.
  • Maintain the shared calendar of events.
  • Maintain customer contacts and leads lists and help coordinate with our marketing team to use the latest information technologies to market our product to our customers electronically. i.e., email blasts, newsletters, Facebook, Twitter, online travel sites, etc. A specified area on our website is dedicated to promoting our tour and events business.
  • Respond promptly to all email, phone, and Hubspot inquiries, check messages, and return calls regarding tour inquiries. 
  • Hire event contract workers when necessary for private events or festivals.
  • Coordinates the entire customer experience when particular events occur; this may include greeting customers and outside tour coordinators before each function, ensuring that buses park, off-load, and load passengers in the appropriate area, and inspecting the event area before the start of each event. Check area setup, menu, service staff, stage & serve tour/meal events. Coordinate and oversee the execution of multiple tours during peak times. Coordinate and assist in the preparation, breakdown, and cleanup of tours and special events.
  • Be prepared to offer expertise and support to onsite events at our Kierland location.
  • Work closely with the Food & Beverage Department, Operations Department, and Marketing Department to host and coordinate special events, parties, unique events, and group tours.
  • Conduct site visit tours with potential clients interested in booking a special event, private party, and culinary experience. 
  • During an event, check with our guests to ensure satisfaction and respond to any requests.
  • Maintain a monthly inventory list of all event assets. Coordinate the repair or replacement of event assets. 
  • Manage the breakdown and cleanup after the event. Account for all equipment and supplies. Return event assets to their storage areas and arrange for the return of rented materials and equipment. If required, ensure that equipment is protected from the environment.
  • Responsible for fully understanding all store offerings, including all food/beverage products and services.
  • Be familiar with the operation of the Point of Sale (POS) system and be capable of performing the general duties of a retail cashier.
  • Coordinating outside catering orders and inquiries and creating catering agreements consistent with the approved catering menu.
  • Order and maintain the inventory of catering supplies.
  • Schedule musicians that are consistent with our concept and customer demographics. 
  • Brand spokesperson - Actively promote and coordinate TV/Press appearances and interviews.
  • Participate in off-site events and tastings when asked by the President.
