Job Summary:
We are seeking an Administrative Assistant I to join our team in Roanoke, Indiana. The Administrative Assistant I will provide essential administrative support to a department or group of professionals, helping to ensure the efficient operation of our organization.
Key Responsibilities:
· Under direct supervision, provide general administrative support, including compiling and analyzing basic information for reports or presentations, preparing charts, graphs, or tables as needed.
· Respond to routine correspondence following established procedures without requiring management review.
· Utilize designated software packages for word processing, spreadsheet, database management, and presentation tasks.
· Maintain a typing speed of at least 60 words per minute (wpm).
· Assist in secretarial and administrative tasks for the team.
· Handle high volumes of detailed work, including compiling, analyzing, and reconciling reports.
· Prepare and verify various reports, such as indexes, budgets, and inventories.
· Organize the employer's appointment schedule and maintain business records and files.
· Sort incoming mail and prepare replies or direct mail to their respective employers for response.
· Arrange conferences and travel accommodations.
· Manage purchase orders, bill payments, and expense vouchers.
· Work with confidential materials, including personnel records, payroll, and salary data.
· Exhibit the ability to work independently with minimal supervision.
· May possess expertise in a specific work environment, such as legal, finance, or marketing.
· Prepare letters, memos, invoices, manuscripts, and other business documents as directed, using designated word processing software.
Qualifications:
· High school education or equivalent.
· Proficiency in word processing, spreadsheet, database management, and presentation software.
· Typing speed of at least 60 wpm; knowledge of speedwriting or shorthand may be required.
· Strong organizational and multitasking skills.
· Attention to detail and accuracy in work.
· Ability to exercise independent judgment and employ basic reasoning skills.
