Medical Practice Manager – Regenerative Medicine OfficeJoin us at QC Kinetix, the fastest-growing regenerative medicine practice in the country! We are excited to announce an opening for an Office Coordinator to work in our fast paced Greater Boston offices. As an Office Coordinator, you should combine a pleasant personality with a dynamic professional attitude to welcome our patients. Job DescriptionYou will be responsible for overseeing the daily administrative and clinical operations of multiple small clinics in the Boston area. Collaboratively work along- side with medical staff to ensure patient flow and efficient management of provider’s schedules to meet the need of the patients. Delegate responsibilities for clerical and clinical work activities and functions to site staff. Ability to see the big picture is essential and assist staff in developing and implementing short- and long-term work plans and objectives. As the first point of contact for patients, employees and providers with questions and/concern, provide the ability to supervise and directs the activities of various levels of assigned personnel utilizing both professional and supervisory discretion and independent judgement.
Essential Functions:Oversee daily practice operations, including managing practice and operating budget, appointment scheduling, billing procedures, and environment of care.
  • Monitor and coordinate office staffing needs with respect to patient demand, physician schedules and available support staff.
  • Interview and hire new staff and coordinate training of new and established medical staff.
  • Manage staff by assigning and delegating tasks as needed.
  • Work with providers to meet productivity and address open encounters.
  • Approve payroll, manage time off requests and effectively use resources to optimize productivity.
  • Interacts with patients, gains customer feedback and addresses patient complaints.
  • Monitors practice's progress through reports and dashboards for overall health center efficiency.
  • Perform introductory and annual employee reviews, competency forms and provide constructive feedback on their performance to help meet organizational and professional goals.
  • Ensure that all policies and procedures function in accordance with local, state and federal laws.
  • Other duties and responsibilities as assigned.
  • Maintain confidentiality and adhere to HIPAA regulations.
Skills/Abilities:Must be highly organized and detail oriented.
  • Ability to apply common sense understanding when carrying out detailed written or oral instructions.
  • Computer proficiency: Excel, Word, Outlook, PDF, etc.
  • Super user of a EMR system (Practicefui preferred)
  • Must have a pleasant, professional attitude toward patients, providers, co-workers and superiors. Teamwork skills a must
  • Ability to set objectives, action plans and engage the workforce.
  • Must be able to work independently, handling high volume and multiple tasks
Compensation: $60,000 to $75,000
Education:
  • High school diploma or equivalent is required
  • Bachelor’s Degree in Business or Health Management preferred.
Experience:
  • Five years Healthcare clinic management experience: required
  • Three years technical experience: Preferred
  • Strong understanding of human resource management principles and practices.
  • Ability to delegate tasks and manage subordinates.
  • Proficient with Microsoft Office suite of products including Microsoft Word (create and edit documents), manage email, Microsoft PowerPoint (create and edit slides), and Microsoft Excel (create and edit spreadsheets)
  • Computer Skills including knowledge of relevant software
Work Location: Multiple Locations in the greater Boston area.
Schedule:
  • Weekdays. No nights.
  • Weekend availability, though weekend work is not currently planned
