PuzzleHR is hiring an Assistant Property Manager in Columbus for direct hire.

Full-time: Hourly position

Pay Rate: $18 – 20 per hour, plus a possible $15k commission annually

Hours: 8:30 – 5:30, Mon – Fri, some Saturdays

Location: Columbus, OH

Summary:

The Assistant Property Manager will assist in the leasing, marketing, and maintaining positive resident relations of multi-family residential apartments. You will work directly with the Property Manager to provide excellent service to apartment community.

What you’ll be doing:

  • Greet prospects and qualify by covering all criteria (ask questions; utilize completed guest cards, etc.).
  • Record all telephone and in-person visits.
  • Files own guest cards and maintain according to established procedures.
  • Inspect models and available “market ready”, and communicate related service needs to the Property Manager.
  • Demonstrate community and apartment/model and apply product knowledge to assist clients' needs by communicating the features and benefits; close the sale.
  • Have prospect complete application and secure deposit in accordance with the company procedures and Fair Housing requirements.
  • Update availability report, and process applications for approvals. (i.e., credit check, rental history, etc.) Submit processed applications to the Community Coordinator for approval. Follow up with applicant regarding status.
  • Ensure the apartment is ready for the resident to move in on the agreed date.
  • Immediately follow up on prospects that did not close and attempt to close sales again. If unable to help prospects, refer them to sister communities to meet prospects’ needs.
  • Secure new resident’s signature(s) on appropriate paperwork prior to move-in. Orient new residents to the community.
  • Assist in monitoring renewals. Distribute and follow-up on renewal notices.
  • Monitor advertising effectiveness. Gather information about market competition in the area and file.
  • Always represent the company in a professional manner
  • Accept rental payments and post rents
  • Comply with federal, state, and company policies, procedures, and regulations.
  • Record monies collected and prepared deposits as per company policy
  • Debit, credit, and total accounts on computer spreadsheets and databases using specialized accounting software.
  • Ensure that all proper and legal documents are received, current, accurately verified, and entered into the computer from new vendors, prior to payment being processed.
  • Communicate with Property Managers regarding the accuracy of invoices received; that purchase orders are attached and invoices are coded correctly, according to company procedures.
  • Access computerized financial information to resolve vendor and payment disputes.
  • Operate 10-key calculators, copy and facsimile machines to perform calculations, and produce and distribute documents.
  • Assist with the preparation of statements of accounting notices for past residents.
  • Prepare, review and close financial books for assigned properties monthly.
  • Prepare and review quarterly and year-end reports.
  • Provide accounting support to Community Coordinators
  • Assist in lease transactions by typing leases, and gathering applicants’ history and credit approvals.
  • Maintain accurate monthly commission sheets on leases, renewals, and delinquencies for bonus purposes.
  • Assume Community Coordinators' duties/authority in absence of an immediate supervisor in accordance with company and community guidelines.
  • Provide general clerical assistance to the community office
  • Receive all telephone calls and in-person visits. Listen to resident requests, concerns, and comments.
  • Quickly complete maintenance Service Requests and inform the maintenance team. Answer questions for residents about community, repairs, rent, rules, etc. Follow up on a timely basis if unable to respond to residents on all matters.
  • Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests on a weekly basis.
  • Maintain open communication with the Property Manager and Maintenance Supervisor.
  • Contribute to the cleanliness and curb appeal of the community on a continuing basis.
  • Assist in planning resident functions. Attend functions and participate as host for any functions as directed by the Community Manager.
  • Participate in outreach marketing activities on a regular basis to obtain prospective residents.
  • Advise residents of referral concessions (if permitted).
  • Assist in placing, removing/updating banners, balloons, bandit signs, flags, etc.
  • Distribute newsletters, pamphlets, flyers, etc.
  • Conduct market surveys and shop competitive communities.

What you’ll need:

  • Fair Housing Certification, willingness to obtain prior to interacting with prospective residents.
  • 2 years of Yardi Voyager System experience.
  • 2 years of customer service experience, in a similar setting is a plus.
  • Support and contribute to the community team.
  • Demonstrate strong oral and written communication skills.
  • Operate telephone, personal computer/keyboard, Microsoft Office including Word and MS Outlook, community software
  • Possess a positive attitude and the ability to smile under all circumstances.
  • Complete training to comply with new or existing laws.
  • Ability to work a flexible schedule, including evenings and weekends.
  • Comply with expectations as demonstrated in the employee handbook.
  • Ability to diffuse and respond to customer concerns to avoid escalation of the problem.
  • Must successfully pass a drug test.
  • Ensure compliance with all company, local, state, and federal safety rules.
  • Ensure that unsafe conditions are corrected in a timely manner.
  • Direct staff to follow a “safety first” principle.
  • Attendance is essential for effectiveness in this job.
  • Employees must fulfill the performance standards of this position and comply with company policies, rules, and procedures, including those set out in the Employee Handbook or otherwise communicated both verbally or in writing to employees.
