About the role:
We are seeking an enthusiastic individual to act as administrative support in our new office in Tampa, FL. In this role you will execute office management duties which may include managing the front office, preparing reports, purchasing office supplies, coordinating minor repairs and acting as a department liaison with outside vendors, suppliers and consultants.

Key Responsibilities:

  • Assist with planning, preparation and logistics for internal and external meetings including arranging video conference connectivity, preparing meeting materials and other logistics.
  • Generate dashboards, reports, and summaries as needed.
  • Coordinate new hire orientation and onboarding tasks as needed.
  • Manage the front desk by assisting employees, vendors, building maintenance, and manage mail and packages (including outbound mailings)
  • Greeting and assisting all visitors to the office.
  • Plan and organize team events and other branding events that PGIM may participate.
  • Facilities management including daily maintenance of appearance of common areas and meeting spaces, kitchen refreshments, as well as equipment and appliances
  • Management of all office supplies including interaction with 3rd party suppliers.
  • Coordinate travel arrangements when needed.
  • Liaise with the IT department to manage and resolve IT/mobile device issues.
  • Management of mail.
  • Perform other administrative duties and special projects as assigned.

Your Required Skills:

  • Minimum 3 to 5 years experience in a similar role.
  • Experience in the financial services industry desirable but not essential.
  • Strong organization skills and work ethic.
  • Excellent communication skills with the ability to maintain close communication with stakeholders including those in the most senior levels within the global organization.
  • Strong proficiency using Microsoft Office (Word, Excel and PowerPoint) and Outlook.
  • Excellent judgment and discretion required in handling sensitive and confidential information in a respectful manner.
  • Flexible and demonstrates a sense of urgency, speed, and efficiency.
  • Able to maintain a high level of productivity and self-direction.
