About the Position:

The Special Assistant is responsible for supporting the CEO and Prospect Schools’ Senior Leadership Team through a combination of schedule and calendar management, project management, writing and editing, research, and other administrative and relationship support functions. They will coordinate the CEO’s time, lead special projects, and compile information and interface with internal and external stakeholders. The Special Assistant will work independently or at times with senior leadership. Sensitivity to confidential matters, a high level of professionalism, thoughtfulness and discretion are required. 

Job Responsibilities:

As the Special Assistant to the CEO, you will be responsible for:

  • Keeps abreast of CEO’s immediate and long-term commitments and plans; identifies conflicts, flags problems for intervention and corrects course as appropriate.
  • Provides administrative support including schedule and calendar management and other advanced administrative duties.
  • Schedule, prepare materials and notes, and ensure follow-up for various stakeholder meetings including staff, Board or other meetings. 
  • Assists in coordinating activities involving the CEO and key stakeholders (ie; our schools, parents, board members, community partners and friends of Prospect Schools).
  • Manages internal and external special projects in coordination with other functional areas, our schools, key stakeholders and/or organizations on behalf of the CEO. 
  • Support in drafting and editing various documents including internal/external correspondence. 
  • Creates and maintains files, reviews drafts and finished documents for accuracy and grammar, including documents of a sensitive or confidential nature. 
  • Coordinates with the Chief of Staff and members of his team including the Office Manager to strengthen the operation and culture of the office, function of the senior leadership team, and board logistics.
  • Work closely with Senior Director of Communications & Public Affairs on special social media projects; track social media engagement to identify high-performing ideas and campaigns for scalability; assist with creating and distributing content such as blogs, infographics, videos and press releases on social media and traditional news outlets 
  • Demonstrates an ability to interact with persons of all backgrounds and cultures 
  • Performs other tasks and duties as assigned by the CEO.

About You:

  • Bachelor’s degree from accredited college or university 
  • Strong customer-service orientation, emotional intelligence, and desires to work on behalf of a senior executive
  • Quick learner, ability to work independently, a proactive problem solver and ability to anticipate needs
  • Must demonstrate utmost integrity; ability to exercise mature professional judgment and use discretion in the handling of sensitive/confidential information
  • Comfortable in team-oriented environment based on open, transparent, continual communication, information sharing and inclusive decision-making
  • Capable of “managing up” to ensure deadlines are met and priorities kept
  • Experience working with stakeholders from diverse backgrounds and perspectives
  • Master in calendar management, excellent time management and advanced knowledge of Google calendars required 
  • Project management experience on behalf of a senior executive.
  • Superior research, analytical, planning, organizational skills, and detail-orientation 
  • Ability to manage multiple projects, and competing priorities while adhering to deadlines
  • Excellent oral and written communication skills
  • Must be open to feedback and professional development
  • Advanced knowledge of Gmail, Google Suite, Word, Excel (including mail merges), and PowerPoint is required
  • Ability to act as resource for other staff
  • Spanish language skills are a plus
