PROMPTCARE HOME INFUSION LLC is Hiring an Administrative Assistant Near New Providence, NJ

Description

Maintain timely and accurate placement of patient files and their related documents. Provide clerical support to the Nursing and Pharmacy Department. Perform clerical functions of scanning of all documents with due diligence. Scan, verify and upload of documents into databases. Scan files and organize in an effective manner. Scan, maintain and manage administration files. Scan, audit and verify customer balances and long over-dues. Perform clerical duties of scanning, maintaining and retrieving of all records and work files. Scan and verify discrepancies in general ledger accounts. Scan and verify lease abstracts and contractual obligations. Receive, scan, index documents of importance into the CPR system.

The Administrative Assistant is an entry level position with growth potential within the department. The successful candidate must have a friendly disposition and enjoys being in a supportive role. The Administrative Assistant must have a solid work ethic, be highly organized, and must have excellent written and oral communication skills.

Reports to: Supervisor of Patient Admissions

Job Location: New Providence, New Jersey

Summary of Key Job Function:

This is a hands-on supportive position, which is customer service oriented, in a fast paced environment. The Patient Admissions team processes inbound orders from referral sources/physicians and requests from our sales team and patients through a variety of mediums, including: inbound and outbound telephone calls, faxes, and e-mails. The successful candidate must be proficient in all phases of administrative work (PC skills, specifically Excel, typing, telephone, fax, copying, etc.)

Requirements

• Minimum education of a high school diploma or equivalent is required

• Must have at least one year of administrative support experience. Healthcare service experience is a major advantage.

• Must have solid working knowledge of general office procedures, especially professional telephone answering skills

• Must have good PC skills, especially with the Microsoft Office suite of products: Word, Excel and PowerPoint

• Arrives at workstation at scheduled start time prepared to work and does not leave workstation until scheduled end time.

• Arrives at work in appropriate attire as specified in the administrative or departmental dress code policy.

• Demonstrates a “team” philosophy in daily operations and problem solving methods.

• Is aware of, and complies with, with all federal and state regulatory agencies as instructed by the company (i.e., FDA, DOT, OSHA, DEA, DEP, etc.)

• Is aware of the surrounding physical environment to ensure a safe work environment.

• Arrives at all scheduled meetings on time and is prepared to participate.

• Participates in mandatory annual and bi-annual in-services and HIPAA training.

• Participates in mandatory annual and bi-annual in-services.

• Reports any potential HIPAA infringements to the Privacy Officer.

• Incorporates company or departmental changes effectively.

• Keeps all employee information confidential, in accordance with company procedures and HIPAA regulations.

• Consistently demonstrates a positive attitude, and gets involved in PromptCare’s employee activities

Other Duties as Assigned

• Attend staff meetings and teleconferences as needed

• Ability to lift a minimum weight of 35 pounds, and able to perform repetitive standing, sitting, stooping, walking, stretching, reaching, typing and use full range of body motions
