Payroll Supervisor
Location: Boca Raton
Salary: $80k to $85k plus excellent benefits
Need International & Domestic experienceThis position is a key member of the Finance team and helps support, lead, and direct all payroll-related activities as necessary, including the preparation of the bi-weekly payrolls and the related tax filings.
REPORTING RELATIONSHIP
Work is performed under the direction of the Payroll Manager.
DUTIES AND RESPONSIBILITIES:
The duties and responsibilities of this position include, but are not limited to, the following:
Payroll Responsibilities:
  • Maintain a thorough, up-to-date knowledge of the Canadian, U.S. Federal, state and local and International payroll rules and regulations;
  • Monitor changes in applicable payroll tax rates and tax laws;
  • Lead automation and/or simplification of payroll processes, as determined;
  • Prepare International monthly payrolls (UK, IRE, SWE, POL, MYR, SPA) for Payroll Manager review then submit to the payroll accounting firms for processing.
  • Prepare International (UK, IRE, SWE, POL, SPA) monthly vacation accrual reports for review and submit to accounting.
  • Review employee US/Canada, AU, DUB vacation accrual reports
  • Prepare monthly Canadian Workers Compensation Reports (WSIB), including annual reconciliations;
  • Supervise and backup the US and Canadian bi-weekly payroll processing, including the generation of checks and printing standard reports;
  • Maintain a thorough, up-to-date knowledge of the payroll system. Periodically assume hands on payroll processing duties to provide a 360 approach of i)valuable guidance and streamlined processing tips to payroll staff and ii) ensure supervisory abilities allow for immediate assumption of all payroll processing responsibilities in the event of illness, accident, etc.
  • Assist with the maintenance of the earnings and deduction codes in the payroll software, including the appropriate interface to the general ledger;
  • Assist with monitoring payroll tax filing and tax deposit compliance with all appropriate authorities;
  • Assist with the reconciliation of the payroll tax related general ledger accounts with the General Ledger Team;
  • Assist with any Federal, state, local or applicable foreign payroll tax audits;
  • Monitor state/local/foreign tax payroll registrations in coordination with the Senior Tax Accountant;
  • Supervise and review the process of preparing state payroll surveys and labor reports;
  • Provide payroll-related information to Human Resources as requested;
  • Respond to appropriate employee payroll requests in a timely manner;
  • Assist with Certified Payroll requests
  • Supervise the tracking and monitoring of traveling employees with the assistance of Office 
  • Managers to determine appropriate state and local tax withholding requirements. When necessary, obtain state withholding forms and/or advise employee of new tax withholding. 
  • Ensure these new state withholdings are properly started and stopped in compliance with state, local and company policies. Manage any appropriate adjustments.
  • Review/supervise and monitor the process of final paychecks for employees in accordance with each state's laws;
  • Review/supervise the timely transmission to the company's plan record keeper: (1) 401(K) employee elective deferrals, employee 401(K) loan payments and employer matching contribution data and the annual Record-keeper report for HR; and (2) 409(a) deferrals (3) RRSP (4) Foreign pensions
  • Generate data test files for the automated interface of payroll data to the General Ledger System and ensure integrity of account balances. Code any other non-automated adjustments necessary for payroll-related transactions;
  • Assist with payroll related portions of the Annual 401(K), Worker's Compensation and Financial Statement audits;
Other Responsibilities
  • Inter-company teamwork and relationships with internal customers and peers;
  • Provide advice and counsel to the Payroll Manager as requested and perform any special assignments when directed
  • All other related duties and responsibilities that may arise from time-to-time.
QUALIFICATIONS:
To perform this job successfully, the employee must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
Education & Experience:
  • Minimum of eight (8) years of progressively responsible experience in multi-state payroll administration demonstrating success in progressive positions of responsibility. 
  • Strong tax knowledge of Canadian, U.S. Federal, multi-state, California termination final check processing, local payroll processing requirements. 
  • ExPat and International/Global payroll experience a plus. 
  • An Associates or Bachelor Degree in Finance, Accounting or Business Management from an accredited college or coursework in these subjects or any equivalent combination of experience and training that provides the required knowledge, skill, and ability
  • People and process management skills and experience. 
  • Strong ethic to comply with legal, regulatory, and company rules and policies. 
  • Demonstrable organizational leadership and team development experience. 
  • Demonstrable quality improvement skills with attention to creation of processes and controls in order to achieve timely and accurate results. 
  • Familiarity and comfort using a broad range of web-based and Windows-based systems and applications.
