Operations Specialist

Primus Auditing Ops a Third Party Food Safety auditing company looking to fill an Operations Specialist position. We certify food safety programs in the agricultural sector. Primus Auditing Operations provides the fresh produce industry with technical services related to the safe production and handling of produce.

An Operations Specialist is accountable for accurate completion of the administration portion of an audit and will manage a diverse group of customers. You should be comfortable communicating with people across teams, departments, be able to solve problems and improvise as needed, and know how to effectively estimate and manage time spent on a variety of tasks. You must be able to easily adapt to a fast-paced work environment, with attention paid to detail. You must be able to efficiently prioritize tasks and work well independently and within a team structure. Coordinate and schedule third-party audits including but not limited to PrimusGFS, Primus Standard, USDA NOP, GLOBALG.A.P., Social, Sustainability and buyer related schemes. You will be accountable for accurate completion of the audit process and establish a good understanding of the complex industry. As the main point of contact, Audit Coordinators act on behalf of the company, answering questions, providing product or service information, and handling any complaints or positive feedback. You may deal with customers face to face, by phone, or through electronic communication, but in all cases, you serve as the voice of the company. This position requires employees to work onsite.

Responsibilities

  • Monitor day-to-day operations, while tracking and reporting on performance and recommending actionable improvements as necessary
  • Maintain constant communication with management and vendors to ensure proper processes are implemented
  • Provide clients the necessary documents per audit scheme and review applications to ensure required information is accurate and archived accordingly
  • Provide information, answer questions, and respond to requests to vendors via email or telephone
  • Ensure tasks remain on time and within a defined timeline
  • Communication and coordination with staff and vendors
  • Prepare vendor contracts and maintain documentation organized
  • Build expert and dynamic knowledge of company products and services
  • Provide direct support to senior leaders and all departments

Qualifications

  • Administrative related degree or at a minimum a High School diploma
  • Two or three years of administrative-level support experience
  • Excellent written and verbal communication skills
  • Strong time-management skills and multitasking ability
  • Ability to be proactive in a fast paced environment
  • Attention to detail and ability to work under pressure
  • A strong work ethic, team player attitude, punctuality, and job dedication
  • Proficient in Microsoft Office, Google Workspace and with aptitude to learn new software and systems
