PowerSchool Group LLC is Hiring an Executive Assistant Near Folsom, CA

Overview

This hybrid Executive Assistant, based at PowerSchool headquarters in Folsom, CA, will handle a wide range of executive support related tasks and is able to work independently with little or no supervision. The Executive Assistant must be exceptionally organized, have the ability to pivot quickly if needed and produce original ideas and strategies. While reporting to the Sr. Executive Support Manager the Executive Assistant will interact with PowerSchool's Chief Executive staff, senior management, and other team members in a highly, fast-paced office environment. A high level of professionalism and confidentiality is crucial to the Executive Assistant role.

Responsibilities

Essential duties and responsibilities include the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • As partner to Chief Executives, the Executive Assistant independently seeks out answers to questions, takes initiative and uses network of resources to solve problems.
  • Must be strategic, proactive, solution oriented and work on procedures that demonstrate process improvements.
  • Handle sensitive business matters and confidential information with discretion, tact, and diplomacy.
  • Extensive scheduling, calendar coordination and management of complex and changing calendars, with the ability to work through scheduling roadblocks while optimizing for the needs and priorities of the business.
  • Facilitator of departmental staff meetings, capturing notes, key outcomes and actions.
  • Coordinate travel arrangements, including flights, transportation, lodging and prepare and submit expense reports on behalf of the Chief Executives.
  • Will lead a variety of special projects under the direction of the Chief Executives and/or Sr. Executive Support Manager, while prioritizing and following through of these projects in a timely manner.
  • Liaison with Finance, including creation and maintenance of purchase orders for the departments as well as the timely submission of all invoices.
  • Organize and assist with on-line, hybrid and in-person events and large team meetings (ie., team dinners, leadership off-sites, All Hands, Town Halls and training).
  • Regularly collaborate with cross-functional Executive Assistants and Sr. Executive Support manager creating and implementing best practices, innovation of team ideas and the use of advanced team office tools and applications.
  • Ad hoc projects will consist of creation of SharePoint sites, org newsletters, presentations, and other related duties as assigned.

Qualifications

To be considered for and to perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

Qualifications include:

  • Minimum 5 years' Executive Assistant experience including 1-2 years C-level support preferred.
  • Must be a self starter, able to work independently and possess a high level of initiative and ingenuity.
  • Extremely adaptable to the ever-changing needs of a fast growing technology company, and be able to work flexibly in terms of responsibilities and responsiveness.
  • Strong organizational/time management skills and the ability to prioritize multiple tasks seamlessly with a strong attention to detail.
  • Must be experienced with Office 365 (Word, Excel, PowerPoint) as well as communication tools such as Slack, Zoom and social media.
  • Industry experience in high-tech. SAS. or educational industry, preferred.
  • Experience working in a hybrid office and fast-paced environment.

A reasonable estimate of the annualized based compensation range for this position is $80,000-$85,000. The compensation range is specific to the United States and incorporates many factors including but not limited to an applicant’s skills and prior relevant experience and training; licensures, degrees, and certifications; internal equity; internal pay ranges; and market data/range parameters.
