We are currently hiring a Receptionist-Administrative Assistant in our Corporate Office!

Job Summary: This position performs routine clerical, and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record keeping.

Job Responsibilities:

  • Develop and maintain office forms and procedures and assist with administrative tasks.
  • Answer central telephone system and direct calls accordingly.
  • Receive the public and answer questions, in person and by telephone; respond to inquiries from employees, citizens, and others, and refer, when necessary, to appropriate person, official, or department.
  • Operate office machines as required.
  • Prepare outgoing mail; sort and distribute incoming mail.
  • Duplicate and distribute materials.
  • Compose, type, and edit correspondence, reports, memoranda, and other material.
  • Assist public with the use of department facilities.
  • Maintain office supply inventory.
  • Set up meeting rooms.
  • Show up to work on time as scheduled, or personally phone/text supervisor an hour prior to the start of shift.
  • Assist with various office duties as required
  • Other duties may be assigned as business needs require.

  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must have knowledge of a variety of computer software applications in word
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • This position requires an extremely perceptive person, who is capable of relating to individuals at all levels. As unique situations present themselves, the incumbent must be sensitive to corporate needs, employee goodwill, and the public image.
  • An energetic, forward-thinking and creative individual with high ethical standards and an appropriate professional image.

Requirements:

  • Ability to read, analyze, and interpret the most complex human resource related documents.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint)
  • Must dress "Business Casual" except for "Casual Fridays".
  • Associates Degree or equivalent experience.
  • Fluent in reading and writing in English (Spanish a plus)
