Overall Objectives of Position The Receptionist is responsible for maintaining and operating the front lobby of the Lavan Martin Assisted Living Facility. This job description is not an all-inclusive list of duties and responsibilities of this position. The Receptionist is expected to perform all duties and responsibilities necessary to meet the goals and objectives of applicable programs. The Receptionist is expected to live the Purpose and Values of the Poarch Band of Creek Indians and will go beyond the call of duty.

Primary Responsibilities of the Receptionist

  • Answers and forwards phone calls to appropriate individuals and departments disseminating information as needed.
  • Greets and assists/directs all visitors/guests in a professional, friendly manner.
  • Accepts packages for residents and delivers to resident units.
  • Accepts and enters work orders for the building into the eMaint program and informs administrator of needs/issues and repair status.
  • Provides general administrative and clerical support to ALF Administrator.
  • Enters purchase orders, check requests, and receipts into WorkPlace as needed.
  • Assists with activities programs/events that promote positive character and physical wellness for the residents of the ALF.
  • Performs other duties as assigned by the appropriate person.

Day-to-day Responsibilities

  • Oversees maintenance of the front lobby areas; keeping it clean and organized.
  • Locks the front door at the end of each day; knows all safety and emergency procedures.
  • Picks up mail from the mailroom for ALF staff, sorts in-house mail accordingly and delivers to appropriate staff.
  • Assists ALF Administrator by scheduling meetings, setting reminders, etc.
  • Takes notes/minutes for various meetings as needed.
  • Ensures appropriate office supplies are available for staff.

Education/License/Certification and Experience Requirements

  • High school diploma or equivalent required.
  • Six (6) months of related employment experience in an extremely confidential office setting preferred.

Skills Required

  • Demonstrate excellent hospitality and customer service skills.
  • Good personal appearance, dependable and friendly nature.
  • Must have a working knowledge of computers with the ability to work in a Windows environment with various software programs such as Microsoft Office software, Excel, etc.
  • Adept at multi-tasking, having unquestionable integrity with an uncompromising commitment to quality.
  • Must possess character that earns the confidence of program participants and community, and minimizes public criticism or complaints.
  • Must be in good physical condition with the ability to sit, stand, walk, kneel, crouch, stoop, squat, and twist for an extended period of time as well as climb, lift, hold, and move objects weighing a minimum of fifty (50) pounds.
  • Must be people oriented and relate well to people from diverse backgrounds.
  • Must be able to work in a team environment and independently.
  • Must be able to communicate effectively, both verbally and in writing.

Additional Requirements

  • Must successfully pass the required criminal and character background check.
  • Must possess a valid state driver’s license and an insurable driving record according to Tribal insurance guidelines.
  • Ability to travel and participate in required training, leadership development, and other events.
  • Ability to adequately and successfully perform all duties and responsibilities of this position.

COMPLAINTS ABOUT RECRUITMENT PROCESS:

An applicant who disagrees with any issue related to the application or hiring process may submit a letter to Human Resources within ten (10) calendar days from the date the applicant knew or should have known that an adverse hiring decision had been made.

Human Resources will provide a written response within fourteen (14) calendar days informing the applicant of any administrative remedy to be provided. The decision of the Human Resources Director shall be final and not subject to further administrative appeal. Any applicant who has exhausted all administrative remedies may be eligible to file a complaint with the TERO Office.
