Description

Pliant Therapeutics is seeking a full-time Office Administrator to join our team. At Pliant, we’re proud of our team members and the work we do and we’re looking for an Office Administrator who wants to create and maintain a welcoming and productive office environment. We are looking for a candidate with a can-do attitude who is responsible for overseeing the daily operations of our offices. The ideal candidate is customer-centric, thrives in a fast-paced environment, has great attention to detail, and possesses strong organization and communication skills. This position will work closely with the Chief of Staff, Associate Director of Facilities and EH&S and will report to the Operations & Employee Experience Manager.

Responsibilities

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
  • The office space should reflect Pliant as a company. Set, maintain, and upkeep the appearance of the office so that it is always inviting to team members and external visitors.
  • Perform receptionist duties including but not limited to greeting visitors, work with Shipping & Receiving Team to sort and deliver incoming mail and deliveries, manage outgoing mail.
  • Maintain office supplies inventory by placing orders as necessary and organize/restock office supplies.
  • Coordinate with printer and document destruction vendors.
  • Liaise with snacks/beverage vendor to make sure office is equipped with snacks and refreshments and proactively prevent and resolve supply chain issues.
  • Provide meeting support, coordinating conference room reservations, liaising with administrative assistants, and order refreshments/lunch as necessary for meetings.
  • Maintain the office such as but not limited to starting and emptying the dishwasher, tidying the conference rooms after meetings, replenishing break room and office supplies, etc.
  • Manage company-wide weekly lunches through our partner, Relish.
  • Manage company’s badging systems by creating badges for new employees, replacing lost or faulty badges, and deactivating badges, as required.
  • Partner with Pliant’s safety committee and serve as primary contact for building alarm system.
  • Work with custodial staff to prepare and organize space for larger scale events/meetings, including setup of tables and chairs, e.g., Company’s All-Hands.
  • Liaise with building tenant management including but not limited to gym membership, badges, freight deliveries, etc.
  • Participate in special projects as needed (setting-up vendors with procurement team, company-wide events, generating reports, company surveys, etc.).

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty. The requirements listed below are representative of the knowledge, skill, abilities and prior experience required.

  • High School Diploma required; Bachelor’s degree preferred
  • 2-3 years of relevant experience
  • Proactive problem solver; works on problem prevention and not just solutions
  • Prior roles in customer service or administrative support experience, specifically in a fast-paced environment, is a plus
  • High attention to detail, excellent organization skills and the ability to work on multiple projects with tight deadlines
  • Must be a self-starter and driven
  • Must have a positive and flexible attitude
  • Excellent interpersonal and verbal communication skills and the ability to deal effectively with a variety of personnel internally and outside the company
  • Proficiency in MS Office Suite: Outlook, Word, Excel, and PowerPoint
  • Experience with Purchasing Software (Point Purchasing) is a plus
