Pleasant Valley is Hiring an Office Administrator Near Medina, OH

The Office Administrator provides general office support through performance of a variety of administrative duties. This role will be responsible for answering incoming calls, welcoming visitors within our security guidelines, as well as functioning as an integral part of the Administration team performing various office support tasks and projects.

Essential Functions:
  • Responsible as first in line in call tree for answering phones
  • Manages the efficient functioning of the lunch room and mini mart including coffee preparation and overall clean up to ensure the space is kept organized and presentable
  • Verifies hard copy statements for accuracy and invoices to ensure they’re reflected in PVC Connect
  • Works with HR department to manage and distribute phone lists so that list is kept current
  • Responsible for handling of Administration department documents including check preparation, envelope stuffing, and stamping for delivery
  • Completes monthly inventory, replenishment and ordering of office/lunch room supplies
  • Manages document filing to ensure accuracy and completeness
  • Prepares various mailings to support different departments throughout the company and manages the postage machine
  • Performs miscellaneous administrative duties such as assembling binders, creating labels, and putting together supplies for new Associates’ work areas
  • Negotiates the company purchase of office supplies and furniture equipment, etc. for the entire staff in accordance with company’s monthly purchasing policies and budgetary restrictions
  • Distributes faxes in a timely manner to the correct Departments
  • Provides support for Associate events and functions, including set up and clean up, to ensure events are enjoyable for all
  • Other duties as assigned
Requirements
  • High School diploma or equivalent
  • At least two years of previous experience in office management
  • Working knowledge of mail processes such as postage machine, Federal Express and UPS
  • Proven planning and organizational skills including proper handling of confidential information
  • Well-developed written and verbal communication skills
  • Computer literacy to include Microsoft applications (Word, Excel)
  • History of interaction with and prioritizing for different levels of management/non-management
  • Stable work history
Supervisory Responsibilities None
Working Conditions/Physical Demands This role primarily works in a business office environment. There may be extended periods (1 hour or more) of sitting in front of a computer screen, in addition to standing, walking, bending, climbing, lifting, (up to 25 lbs.) and stooping in order to complete the responsibilities of the job. The role may also require working evenings or weekends, including overtime, as needed
