Description

Under the supervision and direction of the Vice President of Health Programs, the Health Programs Project Manager, oversees, and helps to implement programs and projects that support the Health Programs Clinical Department’s vision and short- and long-term plans. Additionally, the Health Program Project Manager is a member of the Medical Management Team and will assist with setting the Health Programs Clinical Department’s strategic vision.

Essential Functions: The Health Programs Project Manager will lead, support, coordinate and implement the strategic /multi-year program plans to promote the attainment of goals to advance the business aspects of the Health Program Department.

Major Responsibilities:

  • Drives the development and execution of short and long-term business plans and corresponding budgets by collaborating with the VP of Health Programs, the Medical Director, and other stakeholders as necessary.
  •  Maximizes and leverages resources, collaboration, and efficiency, and communicates in a manner that fosters understanding, commitment and results.
  •  Generates, monitors, and analyzes daily, weekly, and monthly performance reports, ensuring all relevant deadlines are met and communicating progress to VP of Health Programs and other key stakeholders as necessary
  •  Analyzes detailed performance metrics and collaborates with managers and staff to formulate service improvement recommendations; Communicates recommendations to the VP of Health Programs and Medical Director to enhance productivity and increase revenues. 
  • Develops workflows and policies and procedures in collaboration with other Medical Management Team Members for new programs.
  • Develops goals and objectives that create growth, sustainability, and a positive margin.
  • Ensures the Department has the necessary resources to complete its activities (e.g., people, processes, equipment, etc.).
  •  Builds and maintains relationships with applicable partners/vendors/suppliers as well as internal associates.
  •  Assist health center managers as appropriate during project integration to ensure a successful implementation.
  •  Executes business plans by assigning accountability to appropriate staff, monitoring progress, making appropriate adjustments, and finding solutions to obstacles.
  •  Leads projects and workgroups that improve PPMW as a healthcare delivery system.
  •  Assist key leaders in identifying key and relevant issues, evaluating options, and developing clear actions plans.
  •  Communicates timely and effectively on project progress especially when challenges and barriers arise.
  •  Lead or co-lead all communications surrounding specific initiatives by collaborating with internal resources.
  •  Serve as spokesperson on all current strategic planning initiatives as needed.
  •  Ensures adherence to legal regulations and guidelines.
  •  Work closely with the VP of Health Programs to identify, evaluate and propose new strategic business opportunities. 
  •  Independently problem solve as issues arise. 
  •  Travel to all PPMW sites as necessary to full-fill project goals 
  •  Other related, duties as assigned. 

Operations Responsibilities:

  • Develops appropriate operational guidelines with site managers and the Medical Management Team to monitor and improve efficiency and productivity.
  • Ensures compliance with all regulatory agencies such as PPFA, OSHA, CLIA, 340B and other funding sources.
  • Monitors health service revenue and expenses on an ongoing basis. Makes appropriate budget and service delivery recommendations as appropriate. 
  • Recommends staffing priorities and budgeting requirements for health services operations and prepares and monitors patient revenue and expense projections for the Health Programs Management Team.
  • Identifies problems with center manager and call center manager and facilitates their solution.
  • Facilitates communication between staff and departments outside of Health Programs.
  • Implements training programs to ensure high level of customer service.
  • Manages collection and analysis of appropriate health center and call center data to monitor progress toward meeting established goals and operation efficiency. Recommends appropriate management changes based on analysis.
  • Participates in selection and maintenance of health center supplies and equipment within budgetary authorization.
  • Ensure that all quality assurance is maintained and monitored at every site – including coordination of Center Manager reports, audits, occurrences, risk management.
  • Monitor organization’s compliance activities regularly and oversee internal and external reviews.
  • Proactively identify and resolve potential issues of non-compliance, investigate reports of noncompliance.

Education:

  •  Master’s degree in Health Administration, Business, Public Health, or related fields preferred.
  •  PMP Certification Preferred 

Experience:

  •  8 years plus experience in project management.
  •  Healthcare operations experience.
  •  Healthcare leadership experience.

  •  Strong operational leadership skills, including experience providing business leadership. 
  •  Experience with strategic planning processes.
  •  Exceptional interpersonal and relationship-building skills.
  •  Experience developing and using metrics to measure performance of teams, processes, and services.
  •  Strong financial analysis skills. 
  •  Solid understanding of operational impact on profit and loss and experience creating and managing a budget.
  •  Knowledge of regulatory compliance issues.
  •  Effective communicator.
  •  Proficiency in computer software applications (MSWord, Excel, PowerPoint).
  •  Experience with process and improvement.

Language Skills 

Ability to read, analyze and interpret productivity reports industry periodicals government regulations and legal documents along with the ability to effectively present information to staff at all lev ls of the affiliate and the board of directors. Must have the ability to write reports, business correspondences, and procedure manuals. Requires excellent verbal and written communication skills, including listening and interpersonal relationship communication skills as well as coaching and collaboration. This must include strong presentation and public speaking skills with the ability to interact with a diverse group of staff and internal and external customers appropriately and professionally, including PPMW’s Board of Directors. 

Mathematical Skills 

Must possess the ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Requires ability to interpret basic financial data and communicate implications to managers. Must have the ability to develop and manage a budget, including elements of cost analysis, cost management and revenue forecasting. 

Computer Skills 

Excellent keyboarding skills with high level of accuracy required. Must ha e demonstrated proficiency with Microsoft Office, possess capacity to learn software programs required for specific position and must be able to access electronic communications, including e-mail, Extranet, Intranet, and Internet.
