Overview

The Payroll Specialist will be responsible for the timely and accurate processing of payroll through ADP Workforce Now system and will serve as the trusted advocate to all employees. The ideal candidate is highly organized, detail oriented and demonstrates a high level of accuracy in completing complex tasks requiring continuous attention. Reporting to the Payroll Manager, this role will work closely with the Sr. Payroll Specialist, administering the Company’s payroll process function.

Responsibilities

• Responsible for timely and accurate processing of bi-weekly payrolls for multiple states for 1500 employees.
• Audit payroll entries to ensure accuracy of all payments and changes utilizing custom reporting tool; review payments processed by ADP.
• Ensure payroll transactions are compliant with SOX, US GAPP, and corporate policies with respect to all transactions and/or changes that affect payroll.
• Process supplemental and out-of-sequence payrolls quarterly, or as needed.
• Process stock transactions in accordance with vesting schedule.
• Ensure Garnishments are uploaded to the ADP Garnishment system, and correct amounts are processing in a timely manner.
• Prepare manual checks, gross-ups, and ADP a-Wisely pay cards as needed and ensure net pay is done properly and accurately.
• Responsible for understanding payroll tax associated with special payments and ensure appropriate tax rate is utilized.
• Responsible for electronic storage of all documentation related to payroll and in accordance with SOX.
• Respond to and resolve high volume of employee and manager inquiries and/or problems on a timely basis.
• Research and handle extremely confidential information in an expeditious and discretionary manner.
• Provide internal and external support for the payroll and time and attendance keeping system to reduce risk in the areas of wage and hour compliance.
• Liaise with Human Resources team on new hires, terminations, and changes.
• Partner with Benefits in auditing leaves of absence and accrued time off balances.
• Proactively confer with Payroll Manager and Sr. Payroll Specialist on interpretation of company policies and government regulations which have an effect on the payroll function.
• Assist Payroll Manager and Sr. Payroll Specialist in year-end processing activities related to auditing and issuing W-2 forms to employees and on special projects as needed.
• Provide management teams and Human Resources team with ad hoc reports as requested.
• Perform other functions as required.

Qualifications

• Bachelor’s degree in Accounting, Finance, or a related field
• 2-4 years of experience in a multi-state payroll department with exempt and non-exempt staff
• Must apply intermediate-level mathematical concepts and calculations and demonstrate broad understanding of fields such as Accounting, Finance, and Business administration
• Strong computer skills with emphasis in Microsoft Office programs, including Outlook, Excel, and Work
• Proficient in ADP Workforce Now and custom reporting
• Willingness and capability to learn new software and other technological advancements
• Plan, organize and prioritize work on a frequent basis, demonstrating excellent time-management skills
• Must demonstrate a high level of patience and composure, remaining objective when faced with reported issues from personnel
• Strong attention to detail, efficient, and organized with an ability to establish priorities and objectives
• Excellent presentation and communication skills along with the ability to communicate effectively across all levels of the organization
• Able to establish and maintain effective, collaborative work relationships with diverse individuals, internally and externally
• Dedicated learner with a natural curiosity for consistent growth
• Exhibits comfort, ease, and flexibility working in an extremely fast-paced ever-changing, deadline-driven environment
