Located on a beautiful 180-acre campus in in Western Pennsylvania, PTC was founded in 1946. PTC awards associate and bachelor’s degrees and certificates within 10 Schools and 30 Programs. PTC offers a college experience that is empowering and culminates in internships and clinical rotations for on-campus, degree-seeking students.

Purpose of Job
Administrative support to the Office of the President and Senior Leadership as delegated. Primary responsibilities require a thorough knowledge of the College’s services and functions. Must possess and maintain the highest level of integrity. Must effectively communicate and collaborate with other members of the President’s staff, maintain confidentiality, emotional intelligence, flexibility, and the ability to multitask and perform duties in high stress situations.

Education Requirements
Bachelor’s degree from accredited college or university or equivalent 5 years of experience in a fast-paced, non-profit or private sector organization supporting an executive-level individual or team.

Experience Requirements

  • Proficient in the use of Microsoft Office 365 and Adobe Acrobat.
  • Excellent communication and organizational skills in an executive environment.
  • Strong multitasking and collaborative skills, while maintaining business acumen.
  • The highest level of professionalism and discretion is required.

Responsibilities

  • President & CEO Support
  • Under the direction and in collaboration with the Executive Assistant ensure efficient operation of the President’s Office
  • Manage & maintain the legal filing system with the assistance of Chief Legal Counsel
  • Coordinate special event and meeting logistics to include agendas, space acquisition, and catering for various community and stakeholder meetings.
  • Prepares agendas and logistics in collaboration with the Office of the President for the Executive and Expanded Cabinets, as well as the college’s Senior Leadership meetings.
  • Accountable for the accurate recording of minutes at key meetings and representing the Office of the President as needed.
  • Maintain comprehensive calendar and scheduling for the President’s Office, including travel, presentations, meetings, speaking engagements and community events
  • Provide on an as needed basis administrative support for designated cabinet members.
  • Work with Human Resources to develop and maintain updated organizational charts.
  • Accountable for oversight and management of institutional memberships & subscriptions.
  • Takes the lead in assuring the Office of the President has adequate coverage
  • Order office supplies.
  • Manages all hospitality correspondences for the Office of the President to include milestone and congratulatory letters and messages.
  • Board of Trustee and Foundation Board Support
  • Assist Executive Assistance in preparing for quarterly Board of Trustees Meetings, inclusive of material communication, minutes and logistics.
  • Schedule all Foundation Board meetings, prepare, distribute and archive all Foundation Board Meeting materials as directed, and in collaboration with Foundation leadership, and handle all meeting logistics.
  • Assist in coordinating logistical details for off-site meetings and events as directed.
  • Other duties as assigned.

Work Schedule
Full time – 40 hours. The ability to be flexible as addressing timelines and projects. Overtime is available as required
