Job Description

Essential Functions

  • Preparing Enrollment Agreement Contracts for new and existing students enrolling in courses or programs. Creating new enrollment agreements based on previous experience.
  • Provide Orientation to each new student; make copies of all immigration paper work (passport, visa, I-20 form), provide a through admissions orientation with student - general Daytona info, school rules, policies and procedures, uniform policy, referral program. Issue a school catalog. Go through and collect signatures on formal Orientation Checklist, parental release forms, and photo release forms. Go through the enrollment agreement contracts with students (line by line) - courses, policies, payment schedule, late fees, refund policies, etc. Issue a gift bag.
  • Distribute student enrollment agreement contracts and pertinent paperwork to Flight Department and Accounting. Update Accounting's Enrollment Schedule. Email copy of contracts to Admissions Officers. Inform VP of Administration of # of enrollments bi-monthly.
  • Write letters for attendance, invitation letters for family members, request for social security #, request to release funds, and/or recommendation letters.
  • Provide customer service to students to address their needs regarding their training.
  • Manage Calendar of Appointments - coordinate with the admissions department staff regarding their students arriving to start training and putting together the appointment schedule for the new (or existing) student enrolling in their courses or programs.
  • Send notification of contract completion date and start date of new contract.
  • Manage Opt/In and Opt/Out requirements to track contract movement
  • Create and assemble official student files making sure they meet accreditation and immigration standards.
  • Send Ground School and Orientation announcement to all new students.
  • Issue books and supplies to each student as identified on the student enrollment agreement contract and collecting any fees if necessary.
  • Daily data input of student enrollments processed on a shared Excel file - used by both Admissions and Accounting to track Student intake.
  • Maintain an electronic data file of all non-contract and group students such as block-time and Liberty/Saudi students to include Course/Tuition/Cash/Terms etc.
  • Provide "back up" to enroll students in TSA for security threat assessment.
  • Provide "back up" to create student I-20 form for M-1 and F-1 I-20 documents.

Physical Demands

  • Stationary position: Must be able to to remain in a stationary position up to 75% of the time.
  • Move, Traverse: The person in this position need to occasionally move about the office.
  • Communicate: The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Ascend/Descend: Must be able to walk up and down stairways.
  • Operate: Constantly operates a computer and other office equipment: phone, printer/copier.
  • Detect: The ability to observe details at close range

Position Type and Expected Hours of Work

Full-time, Monday - Friday 8:30am - 5:00pm


Occasional to Flagler or trade show

Education and Experience

  • High School Diploma - Required
  • Associates or Bachelor's Degree in Business - Preferred
  • 3-5 years of Customer Service Experience - Required
  • Previous Experience in Education - Preferred
  • 3-5 years of Experience with Microsoft: Outlook, Word, Excel - Required
