Position Overview
As the Deputy Director of Finance and Administration, you are primarily responsible for providing financial and related operational direction and oversight for the Museum. In this position, you will develop and implement efficient financial controls, processes, and strategies to align with organizational priorities and values. You will also proactively seek innovative solutions, support strategic investment, and sustainability. As the Deputy Director of Finance and Administration, you will build and manage the Business Office Team, and serve as an integral member of the Senior Leadership Team. This position will regularly interface with the Philbrook Board of Trustees, donors, and the community.
What You Will Do:
Organizational Leadership
- Provides strategic leadership to Business Office team, and by extension every Museum department to effectively manage the Museum’s financial resources and annual operating budget.
- Provide leadership to direct reports to assure productivity, efficiency, financial statement integrity and continuous improvement of the staff.
- Monitor and evaluate performance and provide coaching, training, and corrective actions as required. Assure equitable administration of Philbrook policies and compliance with regulatory and legal requirements.
- In partnership with Senior Leadership, direct the Museum’s short and long-range strategic planning efforts.
Finance
- Serve as the Museum’s Chief Financial representative, responsible for monitoring and enhancing its short and long-term fiscal health, and ongoing viability, including, preparing, analyzing, reviewing, communicating, and improving the Museum’s financial and budget processes.
- Responsible for budget preparation and reporting, along with supervising budget control systems, and forecasting.
- Collaborate in the development of capital budgets, and multi-year financial strategies.
- Develop financial forecasting models and reports that increase knowledge of department budgets and communicate how department expenses affect budgets.
- Manage the timely production of all financial reports including monthly financial statements, operational analysis, and financial information required by internal staff, Board of Trustees, and regulatory agencies.
- Oversee all treasury functions including managing cash, investments management, and developing sustaining banking relationships, tracking and managing performance of endowment, private equity, Taber Art Fund, and cash investments, in consultation with professional investment advisors and in keeping with established policies and investment guidelines.
- Prepare monthly analyses of Museum’s financial performance for reporting purposes.
- Oversee the annual audit and review with the Audit Committee and Board of Trustees.
Organizational Strategy
- Ensure the Museum is compliant with fiscal management and risk management controls and ensure the ethical standards for a nonprofit corporation are upheld.
- Develop and implement policies and procedures as required to assure the Museum is supporting its mission.
- Be a vital collaborator in strategic planning, master planning, capital campaigns and setting organization priorities with Senior Leadership.
- Provide organizational transparency, accountability, and ownership and facilitate operational and financial decision making.
- Represent the Museum with outside consultants, vendors, and contractors.
- Serve as primary liaison to the Finance and Audit Committees of the Board of Trustees.
Requirements
What You Will Bring:
- Bachelor’s Degree in Business Administration, Finance, or Accounting
- Minimum of seven years financial and operational management experience or equivalent, and at least three years of experience at a senior management level
- Strong leadership and management skills, and strategic planning experience
- Experience with project management, including conceptualizing projects, evaluating funding opportunities, and return on investment analysis
- Previous demonstrated experience with forecasting models and analyzing trends

- Self-starter attitude with ability to manage many concurrent projects with changing priorities
- Strong proficiency with a variety of digital platforms including advanced knowledge in spreadsheet and database applications, Microsoft Office, and willingness to learn and teach new systems to improve productivity
- Excellent knowledge in developing and monitoring budgets, data analysis, risk management, and forecasting methods
- Advanced knowledge of GAAP, FASB, and tax principles
- Advanced knowledge of contract review and negotiation
Preferred Qualifications:
- MBA or MPA
- Certified Public Accountant (CPA) designation
- Knowledge of corporate and/or non-profit governance with experience interfacing with governing boards
- Experience with zero base budgeting
