Summary: Under the direct supervision of the Executive Director and the Account Specialist, this position provides data entry support all departments throughout Paws Humane Society. The Data Entry Specialist will work directly with the Department Heads to ensure that all data is entered in a timely manner and is correct. Quick Books will be utilized on a daily basis for data entry. Also, assembles highly confidential and sensitive information. Deals with internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.
Essential Functions:
Primary Function
§ Provide general data entry capabilities for all Departments of Paws Humane Society, primarily utilizing the Quick Books System
§ Maintain electronic and hard copy filing system
§ Work directly with all Department Heads to ensure entries are accurate and on time
§ Scan documents and upload to the appropriate files
§ Communicate consistently with the ED. on all changes and entries
§ Prepare and modify documents including correspondence, reports, drafts, memos and emails
§ Provide administrative support to Senior Staff from time to time with larger projects
§ Maintain sensitive information in a confidential manner with discretion and judgment
§ Enter all Accounts Payable, invoices, credit cards receipts, employee reimbursement into Quick Books daily
General
§ Possess a clear understanding of and adhere to standard operating procedures and the policies and procedures of Paws Humane Society.
§ Be on time and present for scheduled shifts; maintain a neat and well-groomed appearance.
§ Must work efficiently, with attention to detail, and demonstrate initiative, motivation, creativity, and enthusiasm for the position and Paws Humane Society.
Knowledge, Abilities, Skills and/or Qualifications Necessary to Perform Essential Job Functions:
§ Must have a valid driver's license and MVR record insurable by commercial insurance.
§ Must possess effective communication skills and use normal or aided vision and hearing
§ 2 years of hands on data entry experience with proficiency in Quick Books, MS Word, MS Excel and MS Outlook a must
§ Knowledge of operating standard office equipment
§ Excellent communication skills – written and verbal
§ Ability to prioritize projects and strong problem solving skills
§ Good research skills and attention to detail
Working Environment:
§ Indoor & Outdoor shelter environment that operates 7 days a week
§ Possible interaction with a variety species of animals, of unknown medical history, where there is potential exposure to zoonotic disease
§ Frequent exposure to common allergens and daily contact with sanitation chemicals and cleaning products
