POSITION: Volunteer Coordinator

SUPERVISOR: Director of Administration, HR & Volunteer Engagement

STATUS: Full-time | Non-Exempt

LOCATION: Lake Worth Beach, FL

WORK SCHEDULE: 8:00 a.m. to 4:30 p.m., Mon-Fri, some nights and weekends as required

About Palm Beach County Food Bank:

Palm Beach County Food Bank is a non-profit organization dedicated to alleviating hunger and food insecurity in our community. We work collaboratively with local partners to distribute nutritious food to individuals and families in need across Palm Beach County.

Position Summary:

Volunteers are a critical part of our organization and do the vast majority of the Food Bank’s workload that supports our Hunger Relief programs

The Volunteer Coordinator manages all facets of the volunteer program and has a passion and interest in Hunger Relief. The Volunteer Coordinator is responsible for recruiting and training volunteers as well as engaging the community to support the Palm Beach County Food Bank’s programs, events and special projects.

Responsibilities:

  • Recruit individual volunteers and volunteer groups in conjunction with the needs of daily operations and departments
  • Utilize VolunteerHub to track and analyze all volunteer statistics, i.e., hours, dates of service, number of volunteers, and all other data as appropriate
  • Maintain all required documentation for volunteer groups and individual volunteer hours of service
  • Ability to create reports and present data summaries as required
  • Conduct and arrange volunteer orientations to educate volunteers about the Palm Beach County Food Bank and provide training to abide by all safety and project protocols
  • Create and maintain weekly volunteer schedule, ensuring adequate coverage for all activities
  • Ensure volunteers are staffed to support the various areas of food distribution operations, special events, development and any educational or outreach opportunity
  • Work closely with Community Engagement Coordinator to develop volunteer program content for the Food Bank’s website and on opportunities to increase awareness of the Food Bank’s Volunteer Program
  • Foster a positive and inclusive volunteer environment that encourages collaboration and teamwork
  • Assess and evaluate visitor/volunteer feedback and identify areas requiring improvement; recommend/implement changes as appropriate
  • Organize and participate in volunteer recognition programs and special events
  • Maintain a clean and safe work environment per the Food Bank’s standards and guidelines

Requirements:

  • Excellent organization and multitasking skills
  • Excellent interpersonal and communication skills
  • Ability to coordinate multiple projects/events and adhere to deadlines in a high-energy, fast-paced environment
  • Ability to manage sensitive and delicate situations with a high degree of cordiality and, at times, confidentiality
  • Excellent presentation skills
  • Demonstrated proficiency in Microsoft Word, Excel, Outlook, PowerPoint
  • Knowledge of VolunteerHub a plus
  • Keen ability to relate effectively to other staff, volunteers, agency representatives and the general public
  • Ability to adjust schedule to work evening and weekend hours as required
  • Ability to work independently with minimal supervision
  • Positive, energetic attitude
  • Flexible, adaptable to frequently changing priorities
  • Personable and professional demeanor
  • Possession of a valid driver’s license
  • Continuous use of a reliable, registered and insured vehicle

Education:

  • Associates degree, plus 2 years’ experience or equivalent combination of education and experience related to volunteer coordination, activities coordinator, social services program coordinator, or another related field
  • Warehouse experience a plus

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the, and on a daily basis:

  • Operate manual and electric pallet jacks
  • Lift and move up to 50 pounds
  • Push a cart weighing 200 pounds
  • Work in fluctuating weather conditions
  • Stand for long periods of time
  • Exposure to noise, disagreeable orders, dust, dirt, etc.
  • Stand, sit, walk, bend, stoop, kneel, twist, and reach
  • Use hands to manipulate, handle, feel, and control items or equipment, including motor vehicle
