Type: Full Time – 40 hours expected per week in the office.
Days: Monday through Friday.
Hours: 8:00AM - 5:00PM
Lunch: 1 hour
Pay: Hourly, Non-Exempt
Overtime: Extremely rare

The Office Clerk will report to the Credit Manager and has no direct reports. Applicant should be technology savvy with knowledge of administrative and clerical procedures and systems such as Microsoft Word. Additionally, the applicant should be familiar with managing files, keeping records, designing forms, and other general office procedures including but not limited to data entry.
An example of daily tasks and activities may include (but not limited to) the following:
Accounts Payable (approximately 50% of time)
Be attentive to detail on invoices.
Review and acknowledge invoice receipt date.
Verify invoice with purchased goods/services.
Obtain approval if needed to submit payment.
Enters all invoices into the accounting system and schedules payment of those invoices on the appropriate date.
Code invoices and documents to specified codes as interpreted by the Chart of Accounts.
Sets payment schedule for invoices under the direction of the CFO.
Run checks and ACH payments.
Process recurring bills.
Assign and maintain vendor files with up to date and accurate contact information in accounting system.
Warehouse Inventory Reconciliation (approximately 50% of time)
Records the ins and outs of inventory for various outside warehouses.
Request and reconcile end of month inventory from warehouses.
When necessary, make suggestions for new processes to maintain more accurate inventory in warehouses.
Other:
Provide back up to the receptionist. Answer phones, assist employees and/or guests entering the office, etc.
Check mail in absence of receptionist.

Requirements
Education: High School Diploma
2 years of experience in related field a plus

MAS 100 – Accounting Software
The applicant must be able to carry out multi-step instructions with minimal oversight. Must have strong organizational and planning capabilities, as well as competent follow-through. Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar, is required. Must be a competent writer and he/she must demonstrate written and oral communication expression, effectiveness, and understanding. Must be able to complete various office tasks with accuracy and efficiency in a manner that does not impede the normal rate of office productivity. Must be capable of meticulous mathematical calculations and accurate keystrokes. Must be capable of dealing with employees, applicants, customers, and vendors on various levels in person and over the phone. Knowledge of principles and processes for providing customer and personal services includes customer needs assessment, meeting service quality standards, and evaluating for customer satisfaction.
The applicant must also be able to sit at a desk for extended periods of time. Must have good eyesight capable of close vision, distance visions, color vision, peripheral vision, depth perception and the ability to focus. Must be able to talk and hear. Must be capable of standing, sitting; walking; using hands to finger, handle or feel; reaching with hands or arms; balancing; stooping, kneeling, and crouching to conduct business. Must be capable of moving throughout the office, including closets and storage rooms. Must be able to maneuver between stocked items and move items for inventory purposes occasionally physically. Must be able to lift, maneuver, and transfer items up to 50 lbs.
