Osborne Association Inc is Hiring an Office Manager Near Bronx, NY

Description

Osborne is opening its first transitional housing and reentry program, The Fulton Community Reentry Center (Fulton). Fulton will provide 140 beds of transitional reentry housing to formerly incarcerated men who would otherwise be homeless after discharge from a correctional facility. Fulton will also provide onsite reentry services, including case management, benefits enrollment, employment, health, and substance use disorder treatment. The facility operates 365 days on a 24-hour basis daily, including evening and weekend hours.

We are seeking a full-time Office Manager. The Office Manager is an important point of contact for Fulton Community Reentry Center. The person in this position must have exceptional interpersonal skills. The Office Manager understands modern management principles, practices, and techniques of office administration, organization, and operation. This position reports to the Director of Fulton Community Reentry Center.

Requirements

Summary of Function/Purpose: Provides operational and administrative support to the maintenance, safety and program functions at the Fulton Community Reentry Center; manages the Fulton Center office as it relates to day-to-day program, office, and administration issues.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintains vendor contracts and relationships that support the smooth functioning of the Fulton Community Reentry Center, including vendors providing resident laundry service, secure paper shredding, water coolers, and copy machines.
  • Reviews all Purchase orders and assigns Purchase order numbers to all purchases requested by the Program Assistant or other staff.
  • Maintains the vehicle fleet to ensure proper vehicle maintenance, insurance for all vehicles and drivers, and current drivers licenses for Osborne Drivers. 
  • Ensures proper file storage both onsite and off site that meets document storage and retention policies outlined by DHS
  • Manages inventory, order, and track necessary program and office supplies 
  • Management of day-to-day operation of the office, order office supplies 
  • Attend meetings and keep notes
  • Distributes metrocards, incentives, home start-up kits, and other supplies to program participants as directed by the Program Director 
  • Assists with the maintenance of the facility calendar for workshop schedules, scheduling intake dates, and following up with participants, vendors, and other staff to ensure appointments are kept
  • Supports Social Services team (Case Managers, Housing Specialists and Social workers) with any administrative supports that are needed
  • Maintains office workflow by implementing administrative systems, procedures and policies that maximize the efficiency of office services and the quality of work product
  • Provides backup QA to ensure all log books are up to date, maintained properly, and stored appropriately
  • Prepares reports, documents, and letters to support program work processes. Coordinates the distribution of information, proposals, manuals and other materials
  • Ensures quality work standards by editing reports, documents, and letters before distribution
  • Promotes a positive image of the organization through communicating Osborne Association’s mission and programs to a variety of audiences
  • Delivers program and technical assistance to colleagues, in collaboration with other offices or agencies.
  • Provides reception coverage
  • Performs other duties as required
  • Performs other related duties as assigned 

Education

  • High school Diploma or equivalent 

Experience

  • A minimum of three (3) years of office management experience providing administrative support
  • A minimum of one (1) supervisory experience

Additional Skills

  • Superior organizational, analytical, and interpersonal skills
  • Excellent writing, proofreading, and typing skills, with the ability to type 55 words per minute (net corrected).
  • Ability to handle multiple high-priority tasks simultaneously
  • Bilingual English-Spanish preferred
  • Engaging personality and detailed orientated skills are essential.
  • Strong oral and written communication, time management, and organizational skills are necessary.
  • Knowledge of CARES, MS Word, Excel, and database management skills.
  • Ability to solve problems, make decisions, resolve conflicts and listen.
  • Access skills to deal calmly in crisis situations.
  • Proven ability to work collaboratively well with diverse groups.
