Set to open in the Spring of 2023, Omni Tempe Hotel at ASU will amplify Tempe’s revitalized downtown area and bring some of the largest conference and meeting space to the city. The hotel will feature 330 guest rooms, including 11 suites, four dining outlets, a spacious pool deck, retail, and almost 36,000 square feet of flexible indoor and outdoor meeting space with expansive views of the ASU campus and the Tempe cityscape. Whether you are looking for a destination for your weekend getaway, a meeting room or event space for a conference or wedding, or a night out at the multiple upscale restaurants, the Omni Tempe Hotel at ASU is sure to meet the needs of the most refined travelers.

Job Description

Omni Tempe Hotel at ASU is seeking an Executive Administrative Assistant to join the pre-opening team of our brand-new upscale hotel. Omni Tempe Hotel at ASU will provide Tempe with 36,000 square feet of event space and four new food and beverage outlets. Featuring a rooftop upscale restaurant and the largest ballroom in the area, we expect to provide tremendous options for our guests for dining, events, and entertainment.

So where does the Executive Administrative Assistant fit in? This role will provide support to the General Manager of the hotel. We expect that our chosen individual will be instrumental in establishing processes and structure in the hotel and serve as a valuable resource for the hotel’s leadership team.

Our chosen candidate must have outstanding organization and communication skills and possess a keen eye for detail and a passion for great service. This is an exciting opportunity to join our founding team and be a part of something truly special.

Responsibilities

  • Support the General Manager and the hotel Executive Committee with administrative responsibilities.
  • Extensive administrative duties and responsibilities, including communication and distribution of reports and correspondence, note-taking during meetings, handling of confidential materials and information, daily distribution of the mail, scheduling, and overall correspondence.
  • Corresponds with finance, human resources, and other departments to facilitate proper approvals, record keeping, and filing as it pertains to Omni’s internal audit expectations.
  • Manage schedule for Executive Committee meetings and events and ensures that all directors and managers receive messages and appointments in a timely manner.
  • Manage day-to-day external guest correspondence, internal communications, and guest satisfaction surveys and feedback through internal and external systems.
  • Maintain Gift Certificate Log to include value, purpose, date issued, and date redeemed.
  • Coordinate all travel arrangements including reservations, transportation, amenities, and in-house meetings and events for VIPs, corporate and ownership visits.
  • Responsible for executive office ordering and expense management.
  • Maintain hotel licenses, permits, contracts and certificates of insurance.
  • Assist Accounts Payable with monthly reconciliation of executive office expenses.
  • Perform other duties as assigned by management.
  • Champions the Omni culture on property and enthusiastically promotes the hotel and company.

Qualifications

  • Bachelor's degree in Hospitality Management or equivalent field of study.
  • 2 years of previous experience in hospitality, hotels, or fine dining is preferred.
  • 2 years of previous experience as an administrative assistant is preferred.
  • Bilingual, with verbal and written fluency in English and Spanish is a plus.
  • Comfort with Microsoft Word, Excel, and PowerPoint is essential.
  • Prior experience with Concur, Glassdoor, Medallia, Delphi FDC and Salesforce is a plus.
  • Must have outstanding verbal and written communication skills, and the ability and comfort to communicate with customers and internal associates at all levels.
  • Must be flexible with schedule to work include some weekends, especially in the pre-opening period of the hotel.
  • Ability to work in a variety of settings, including sedentary seated computer work, standing for periods of time, and walking the property, and occasionally conducting work that includes lifting and moving objects of up to 50 pounds.

*This position is a full-time, on-site position with no work from home flexibility.
