Job Description

The main objective of the Banquet Captain is to ensure flawless service and to create a memorable dining experience for ALL guests attending his/her assigned event by ensuring that all Food and Beverage is presented neatly, accurately and served on time.

Responsibilities

  • Responsible for controlling all aspects in the execution of banquet function.
  • Review assigned BEOs and highlight and discuss any questions with Banquet Director or banquet manager in charge upon arrival.
  • Check in with the Catering or CS manager and let them know that you oversee his/her event.
  • Check Banquet Room before banquet staff arrives to ensure room is set per BEO, compare diagram versus set, and verify chair count, buffets, head tables, and all other set up requirements on BEO including, cleanliness of the room, audio visual equipment. Lighting, room temperature.
  • Does a perimeter check: check behind curtains, are all sheers evenly closed? Is the room thoroughly clean? Are the chairs clean and free of stains? check foyer space and path guests will take to arrive to the assigned ballroom, are there any old signs still in the foyer?
  • Check in with the Chef and do a quick review, compare BEOs and follow up on any last-minute changes or requests, keep chef informed of time changes before and during the event.
  • Prepare signage for all displayed buffet items.
  • Make sure linens and all equipment is completely ready and available before the staff arrives.
  • Prepare detailed assignments for the staff before they arrive.
  • Prepare table chart for servers as well as clean up stations in advance.
  • Do sample place setting sample for staff before waiters arrive.
  • Have a stand-up meeting at the scheduled time with the servers, check uniforms, name tags, etc.
  • Review name of the group and their expectations, read complete menu, special dietary needs, timing, program, VIPs.
  • Give them their assignments and the time that you expect them to complete the job, assign your best servers to the
  • VIP tables and VIP guests, check and make sure the timeline is being followed. 
  • Be available during the setup of the room, check on the waiter’s tasks, and make sure to get whatever equipment they are missing, double check all stations during table detail. 
  • Make sure bartenders arrive on time, check them in and check on beverage delivery 1 hour before the event starts; ensure all the beverages delivered match the BEO. 
  • Check on wine for dinner to be delivered 1 hour before service begins.
  • Be completely ready to open 15 minutes before the scheduled time; waiters are lined up facing the entrance with side towel, gloves and wine or champagne per BEO.
  • Follow the service timeline and ensure waiters are lined up to pick up each course as scheduled.
  • Maintain constant interaction with client in charge as well as all the other stations in the room.
  • Check and personally make sure all “Special Meals” are delivered to the correct guest in a timely manner.
  • Walk the room, make sure all tables are being served timely, make sure servers are following service standards, do not allow any short cuts.
  • Be visible and available to all your guests and servers in the room.
  • Make sure to follow the program and stop service when the program begins. All tray stands must be removed from the room at this time.
  • Assign at least 2 servers to remain in the room in case a guest needs service.
  • Post closing chart for staff, assign extra staff for linen, salt & Pepper etc.
  • Make sure to count and bag all rental linen and lock it up in Empire closet.
  • At the end of the event check with client and record any comments for captain’s report on Go Concierge
  • Prepare banquet checks in Delphi, Micros, and banquet recap sheet.
  • At all times maintains the highest standards of professionalism towards all guests, associates, and managers in the Omni Shoreham tradition.
  • Assist the Banquet Director in the complete operation of the Banquet Department.
  • Responsible for adhering to all hotel policies and procedures.
  • Responsible for adhering to all liquor liability laws.
  • Prepare for and conduct departmental meetings.
  • Use Synergy and Epitome Reports to effectively relay guest concerns to other departments.

Qualifications

  • Strong attention to detail
  • Strong customer service skills
  • Ability and willingness to stand for 8 hours at a time.
  • Ability to clearly and pleasantly communicate both verbally and in writing in English with management and co-workers, both in person and by telephone/radio.
  • Ability and willingness to bend, stretch, reach, and push up to 50 lbs.
  • Ability and willingness to work a varied schedule which includes working on weekends and holidays.
  • Previous experience in housekeeping is strongly preferred
