Job Description

Provide clerical/administrative and administrative support including typing, computer input, filing, tracing, answering telephones, printing reports, maintaining manager files and departmental records/logs.

Responsibilities

ESSENTIAL JOB FUNCTIONS:

Maintain knowledge of all hotel services/features and hours of operation.

Maintain complete knowledge and comply with all hotel and departmental policies and procedures.

Maintain complete knowledge in the use of all office equipment, computer and manual systems.

Access all functions of computer according to specifications.

Set up workstation with necessary supplies and resource materials; maintain cleanliness throughout shift.

Arrange meeting room requirements and site inspection rooms as requested.

Establish and maintain filing procedures.

Retrieve and distribute departmental mail.

Process requests for overnight mail and other delivery/messenger services.

Prepare and send faxes as required, receive and distribute faxes to appropriate personnel.

Plan and coordinate with the appropriate personnel all employee social activities (i.e., staff holiday party, Associate Appreciation Activities, rallies, etc.).

Maintain accurate trace files and communicate daily traces.

Process new hires and transfers by ensuring all documents have been completed accurately. Accurately enter data on a timely basis in the payroll system. Complete designated procedures in compliance with hotel standards.

Maintain all bulletin boards with current and pertinent information ensuring a professional appearance.

Promote positive relations with guests and employees.

Qualifications

Essential:

  • High school graduate.
  • Two (2) years administrative experience.
  • Knowledge of computers.
  • Ability to clearly communicate with proper grammar in English with guests/visitors and hotel personnel to their understanding.
  • Ability to provide legible communication.
  • Ability to compute basic mathematical calculations.
  • Ability to work cohesively with other departments as part of a team.
  • Ability to be proactive, present ideas, and implement strategies.
  • Be an ambassador and represent the Omni culture.

Desirable:

  • Some college.
  • Familiarity with preparing statistical reports.
  • Bilingual Spanish.
  • Previous training in guest relations.
  • Previous experience in hospitality industry, preferably a 4-star hotel.
