What we’re looking for…

  • OEC Group is currently looking for an Executive Assistant to support the Vice President of Sales in a timely and professional manner. You will provide high quality administrative and clerical assistance in our Renton office.  
  • The Executive Assistant's main duties include scheduling meetings, maintaining phone/email correspondence, making travel arrangements, and organizing the daily calendar.
  • The ideal candidate should have relevant experience, be analytical, and be familiar with office management technologies.

About the Position: Duties and responsibilities include the following (other duties may be assigned):

  • Manages calendar of the Executive team and independently schedules appointments daily.
  • Arranges travel accommodations for the Vice President and Executive team by coordinating with airlines, hotels and/or travel agents.
  • Records and produces detailed messages to Supervisor from internal and external contacts.
  • Manages key projects as directed by Supervisor.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
  • Prepares agendas for regional sales meetings on a quarterly basis.
  • Responsible for gathering data and preparing daily/monthly/quarterly/yearly sales volume reports for sales management, senior management and Chairman.
  • Coordinates with Administration team to plan company events such as the Annual Holiday Party, company picnic and executive meetings.
  • Accountable for managing the inventory of sales promotional items and requesting additional inventory from headquarters as needed. 
  • Reviews expense reports and submits for reimbursement through Concur for the Executive team.

Work Schedule

Renton Office Hours: 8AM - 5PM PST

Qualifications

  • Ability to work in a fast-paced and deadline-driven office environment
  • Excellent verbal & written communication skills and phone etiquette
  • Ability to multi-task, prioritize, and manage time effectively
  • Exceptional customer service skills and follow up
  • Proficient in Microsoft Office (Word, Excel, and Outlook) - pivot tables and v-look ups are a plus
  • Knowledge or coursework in Supply Chain, Logistics and or International Business a plus

Education & Experience

  • Bachelor's degree preferred.
  • Experience dealing with a high volume of data entry

Salary

$55,000-65,000 annually based on education and experience level.
