Responsibilities The Workplace Coordinator will work onsite, full-time, in Oaktree’s global headquarters in Los Angeles as a member of the Corporate Services team, which is responsible for providing a key portfolio of essential services to Oaktree stakeholders. The Workplace Coordinator’s focus is on delivering a superior workplace experience to employees and visitors. The person in this role will help foster a collaborative and productive workplace environment, and help employees realize the benefits of working in-office in the hybrid model. The Workplace Coordinator helps ensure Oaktree’s workplace reflects and communicates Oaktree’s culture and brand to employees and visitors. This professional will be customer-focused, passionate about hospitality, capable of balancing competing priorities, and must be a skilled communicator and collaborator. Responsibilities include: Provide full-time, on-site, concierge-level support for a broad array of workplace-related needs (e.g., facilities, workspace, meetings/conference rooms, hospitality, amenities, events, etc.). Elevate the Los Angeles office visitor experience – welcome employees, vendors, and visitors, handle the “door traffic” and “day of” needs, such as reserving desk in OfficeSpace, clearing through building security, delivering temporary access badges / parking validations and serving as in-office point of contact. Provide meeting and conference room support, including assisting with meeting setups and breakdowns, catering vendor access and coordination, handling front-line audio-visual support, partnering with IT (Information Technology) as needed, and ensuring meeting rooms/spaces are kept clean and tidy. Support desk and room reservations in Oaktree’s IWMS system (OfficeSpace) as needed to facilitate Oaktree’s agile-working and space allocation protocols. Contribute to a productive and engaged agile-working environment by being visible, answering questions, resolving scheduling issues, promoting agile office etiquette with colleagues and new hires. Optimize community building and attendance by assisting with the planning and execution of special office events at various times throughout the week to coordinate with different hybrid in-office schedules and routines, including seasonal, OCM, D&I or other initiatives. Make recommendations for new tactics to engage employees in the framework of Oaktree’s emergent workplace strategies. Support facilities team by proactively identifying needed updates, repairs cleaning or maintenance in the workplace, entering service tickets as needed and flagging chronic problems; provide onsite logistical assistance with construction projects, workplace usage studies and other workplace initiatives. Contribute to the emergency preparedness function for the Los Angeles office, including serving as an active member of the Emergency Response Team. Contribute to a broad level of employee communications and/or employee engagement efforts, with an ability to communicate effectively in writing and in person across the company Qualifications Minimum five years of experience in hospitality, event planning, office management or other client-service roles Demonstrated problem-solving skills and ability to escalate issues needing attention Demonstrated track record of skillful communications and effective business writing. Strong proficiency in Excel skills Strong proficiency in PowerPoint skills, including charts and applying style guidelines Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks Personal Attributes Exceptional customer service skills and mindset Outstanding initiative, integrity, professionalism and motivation to succeed Excellent interpersonal and verbal skills Effective time-management and prioritization skills with the ability to switch between tasks as required Strong work ethic focused on continuous development, performance, accountability, and self-motivation Exceptional attention to detail Ability to lift 20 pounds.
