Overview

The Office Manager will provide administrative support to the Administration department, including the General Manager, Assistant General Managers and Human Resources. Administrative duties may include, but are not limited to, providing clerical support to the executive team, supervising all KBHCCD administrative staff, supporting the front-desk and ensuring coverage at all times during business hours. Support preparation for internal meetings (including sending out meeting notices, sending calendar invites as applicable, coordinating with Director of Events on PowerPoint presentations, ordering catering and A/V needs as necessary, etc.). Safeguard company assets.

Responsibilities

  • Provides independent administrative support of the day-to-day activities of the General Manager and Assistant General Managers to maximize executive productivity and ensure department efficiency.
  • Supervises administrative personnel and ensures front desk is covered during all operational hours.
  • Effectively manages the General Manager and Assistant General Managers’ calendars as necessary, acting independently to routinely schedule appointments and arrange any necessary travel itineraries.
  • Acts as the General Manager and Assistant General Managers’ liaison with employees, the City of Dallas contract administrator and staff, and other committees, facility users, and the public.
  • Creates, types, proofreads, and files the General Manager and Assistant General Managers’ written communications.
  • Prepares clear, concise, timely reports, presentations, correspondence, and other written materials.
  • Establishes and maintains effective, positive working relationships with those contacted in the course of work.
  • Creates agendas and records meeting minutes.
  • Assists the Human Resources Manager in facilitating day-to-day human resources responsibilities
  • Provide general office and clerical support: preparation of weekly package to corporate, copying, filing, correspondence, telephone inquiries.
  • Performs other job-related duties as assigned.

Qualifications

  • Bachelor’s degree preferred; GED or Diploma required.
  • A minimum of 4 years providing administrative support to the executive team required.
  • A minimum of two years’ previous supervisory experience required.
  • Consistent and reliable attention to detail, accuracy, and validity.
  • Ability to multi-task in a fast-paced, changing environment. Must work well under pressure of deadlines.
  • Ability to successfully interact and collaborate with a diverse spectrum of individuals calmly, professionally, supportively.
  • Excellent organizational and time management skills; ability to delegate tasks as required.
  • High level of proficiency with Microsoft Office.
  • Extensive experience preparing spreadsheets and reports.
  • Ability to adhere to the highest standards of ethics, integrity, professionalism, and discretion. Ability to execute solid management decisions quickly and efficiently.
  • Ability and willingness to work extended hours (i.e., evenings, weekends, holidays), as required by business necessity.
