NYRA is Hiring an Executive Assistant Near Jamaica, NY

Basic Responsibilities:
The Executive Assistant provides high-level assistant support to the General Counsel & Corporate Secretary. Act as gatekeeper to General Counsel’s office, managing access by staff, visitors and callers to prevent inappropriate or unproductive meetings. Keep General Counsel organized with meeting materials and immediate priorities; this may include inbox -management. Compose responses to inquiries. Expedite the completion of projects across the department. Maintain departmental files.
Essential Functions:
  • Provide high-level assistant support to the General Counsel & Corporate Secretary, including managing department calendar, making travel arrangements, processing expense reports, completing ADW and gaming license applications, answering phones, and managing department projects through completion.
  • Build and maintain relationships with NYRA’s Board of Directors and their respective assistants in order to schedule all meetings of the NYRA Board of Directors and its committees. Attend, prepare presentation materials for and take minutes at all such meetings.
  • Act as gatekeeper to General Counsel’s office, prioritize internal and external callers and visitors and schedule meetings according to organization’s priorities and General Counsel’s learned preferences. Attempts to resolve problems or issues based on the facts presented and direct inquiries to the appropriate person or department if possible. Perform basic research to perform the aforementioned tasks.
  • Track and prioritize daily workload, including, but not limited to, monitoring email and mail correspondence, prioritizing deadlines and documenting all other correspondence.
  • Discretely handle confidential and highly sensitive materials and information.
  • Draft and send correspondence to the NYS Gaming Commission, Franchise Oversight Board, NYRA’s Board of Directors, internal and external stakeholders on NYRA and/or the General Counsel’s Office behalf. Excellent writing and communication skills required.
  • Assist the Contract Administrator, Paralegals and other department support staff in navigating NYRA policies and procedures and completing projects, including expediting contracts, contacting appropriate parties for information and delivering documents that are complete. Visit governmental offices, e.g. registrar’s office, to obtain copies of legal documents, such as deeds, leases, etc.
  • Maintains a legal calendar of events for the NYRA legal staff to ensure timely responses to various legal matters, such as arbitrations, contract negotiations, etc.
  •  Maintains departmental files covering contracts, labor issues, litigation, and general legal documents in an orderly fashion to facilitate research.
  •  Opens, time stamps, and prioritizes the departmental mail. Makes copies of documents for the departmental files. Reads and routes emails to appropriate personnel. 
  • Orders office supplies to ensure a continuous flow of work.
  •  Performs various other administrative duties, such as…
o Making copies of documents
o Binding pages into reports
o Maintaining lists of contacts
o Taking notes during meetings
o Updating legal binders with new material.
  • Processes and submits the weekly time sheet for all Legal department personnel. Tracks all vacation, sick, and floater days to ensure compliance with existing policies.
  • Must be comfortable making inquiries via email and telephone in order complete assigned tasks.
  • Performs other duties as assigned.
Minimum Requirements:
Education (minimum): AAS Degree in Business Administration. Bachelor’s degree preferred.
Experience: Prior experience providing administrative support to a senior level executive. 
Other Requirements: Customer service oriented, diplomatic, strong judgment, emotionally intelligent and intellectually curious. Must be comfortable making inquiries and resolving or responding to issues in writing, and via telephone, as appropriate.
