NWESI is Hiring an Administrative Assistant Near Hillsboro, OR

Northwest Engineering Service, Inc is the leading provider of mechanical systems Testing, Adjusting and Balancing Services in Oregon and Idaho. Founded in 1958, NWESI continues to have a reputation for providing quality work and professional assessments.

The Administrative Assistant will assist Project Managers in maintaining safe, efficient, and profitable operations in the HSD Division. They will work closely with all personnel at HSD client sites and the NWESI Main Office to maintain mutually supportive relationships, and serve as liaison between NWESI, clients, and other contractors at these sites.

Responsibilities:

  • Work closely with all levels of administrative and technical staff to assist as needed with word processing, data entry, filing, copying, low level technology issues, and database management.
  • Accurately enter field data into NWESI proprietary databases and maintain monthly spreadsheets of field surveys.
  • Assist in preparing, reviewing, and filing customer final reports, including minor changes to CAD drawings, and actively seek ways to improve efficiency of the process.
  • Provide specific reports to Project Managers and company management as needed.
  • Assist in developing project quotes and invoicing.
  • Search for and order supplies for office and ensure availability of consumable items.
  • Other duties as assigned

Required Skills/Abilities:

  • Thorough understanding of Windows-based computer systems and programs (Excel, Access, Word, Outlook).
  • Experience working as an Administrative Assistant and/or A/R Clerk (preferably in an engineering, construction, or semi-conductor manufacturing environment).
  • Some experience working with, or ability to be trained in, accounting software.
  • Detailed and accurate when presenting and inputting complex data.
  • Writes clearly and accurately, editing work for spelling and grammar.
  • Seeks continuous improvement to processes and to learn new skills and increase responsibilities.
  • Adapts effectively to frequent changes in a highly demanding work environment, with proven team skills that foster & maintain mutually-supportive working relationships both inside and outside the company.
  • Identifies and resolves problems in a timely manner.
  • Dependable attendance and willing to work long hours to support deadlines, including overtime on occasion.
  • Excellent verbal and written communication skills.
  • Strong organization skills.
  • High School graduate.
