Northwest Acute Care Specialists is Hiring a Lead Payroll Administrator Near Portland, OR

Northwest Acute Care Specialists, P.C. (NACS) is an independent emergency medicine and ambulatory care practice group that contracts exclusively with Legacy Health to provide emergency medicine and urgent care professional services. 

Job Summary

The Lead Payroll Administrator is responsible for overseeing the entire payroll function including day-to-day payroll administration for the organization, processing payroll, managing time and attendance records, and processing required reports. Responsible for documenting and updating payroll procedures and streamlining the payroll process. Assists with accounts receivable and accounts payable functions.

Essential Job Functions

The information provided below encompasses the typical duties and capabilities linked with this position. The individual in this position is expected to engage in the following work-related activities:

  • Processes and submits payroll, including entering data, reviewing and auditing timesheets and performing a variety of calculations and computations to detect and reconcile payroll discrepancies. Completes the journal entry process after each payroll.
  • Ensures proper set up and ongoing accuracy of benefits, tax and other payroll deductions and withholdings.
  • Processes employee hires, separations and changes in payroll system for timely, accurate pay and reporting.
  • Maintains accurate and up-to-date payroll and time and attendance records, including tracking hours for a variety of reasons including full time status and credentialing purposes. Performs year-end W2 and reporting functions.
  • Runs and processes a variety of reports for tax purposes, pay equity, 401K, ACA, NWPS submission, PR Deferral & Loans, NACS Cares and other benefit census reports.
  • Process reimbursements payments for all providers.
  • Processes SAIF monthly billing based on payroll, along with SAIF yearly audit and reconciles other benefit invoices with payroll deductions.
  • In collaboration with CFO and Director of Human Resources, maintains knowledge of federal, state and local legislation as it relates to payroll.
  • Generates invoices as part of the accounts receivable process; processes deposits and other miscellaneous income as well as reconciling and entering credit card charges into Quickbooks.
  • Processes accounts payable invoices, payments and records journal entries, as needed.
  • Backup for front desk and phones, as needed.
  • Other duties, as assigned.

The individual in this position is expected to possess and exhibit the following knowledge, skills, and abilities:

  • Maintain working knowledge of basic accounting and payroll functions, as well as internal policies and procedures.
  • Ability to read, analyze, and interpret basic payroll and financial reports and statements.
  • Effectively communicate information and ideas, as well as compose accurate, effective, and grammatically correct reports and business correspondence appropriate for the intended audience.
  • Manage a high volume of tasks at one time, including organizing and prioritizing workload.
  • Ability to maintain confidentiality in a professional business environment.
  • Make sound and timely informed decisions in complex situations.
  • Demonstrate flexibility and adaptability in a fast-paced environment.
  • Work independently with minimum direction work as part of a team, ability to collaborate with others.
  • Demonstrate initiative, including pro-actively identifying and addressing issues and making recommendations.
  • Demonstrate a high attention to detail.
  • Maintain basic working knowledge of software programs such as Microsoft Office including Word and advanced working knowledge of Excel, Outlook, Paychex and QuickBooks.

Education, Experience, Certifications and/or Licenses

The following are the minimum qualifications for this position:

  • 4 to 5 years’ experience in a similar position, or equivalent combination of education and experience.
  • Minimum 2 years’ experience with Paychex Flex. 
  • High School Diploma or General Equivalency Diploma (GED) required.
  • Certified Payroll Professional (CPP) preferred.
  • Ability to occasionally work evenings and weekends, as needed.
