Opportunity Overview

North Shore Community Health (NSCH) is an industry leader in exceptional delivery of community healthcare. We are looking for a self-motivated and experienced Facilities Manager. The Facilities Manager reports to the Senior Director of Practice Transformation and works as part of the Operations Team. They are responsible for maintaining and improving the physical environment of care with a focus on safety, regulatory requirements, staff and patient experience. The Facilities Manager holds an in-depth working knowledge of each site and clinic layout, service offerings, and personnel in order to successfully maintain, service and improve the physical space and equipment at all sites. 

The Facilities Manager will also lead NSCH’s emergency response efforts and be part of the incident command and response team. They establish relationships with vendors for services needed at all North Shore sites and coordinate safety drills as well as other environmental safety protocols and processes. The Facilities Manager is a role critical to the overall success of the organization and would be expected to maintain a strong working relationship with key roles at all levels of the organization to ensure prompt bi-directional communication and collaboration for emergent issues along with proactive planning for maintenance and improvement efforts.

Duties/Responsibilities:

  • Responsible for proactively monitoring the physical environment of all NSCH’s facilities, identifying and addressing issues, and calling in appropriate resources, as needed. Ensure efforts are coordinated and communicated with the key stakeholders and/or decision-makers such as the Practice Managers, Senior Director of Practice Transformation, and the Executive Vice President and Chief Operating Officer (EVP/COO), and/or other members of the leadership team.
  • Design, develop, deploy and actively manage the Emergency Operations Plan, which includes having a specific plan for each site (including staff roles and responsibilities during an emergency situation) and then conducting regular drills and tests and evaluates the efficacy of the program and adequacy of staff training and education. Serve as NSCH’s Emergency Preparedness Coordinator.
  • Adhere to our Supplier Diversity Program to ensure that NSCH follows its standard operating procedure to procure services from suppliers, vendors, and subcontractors that reflect the diversity of NSCH’s patients and service area, as possible and practical. 
  • Maintain all vendor relationships and manage all vendor contracts related to managing the facilities and equipment for NSCH sites. Periodically and proactively work with appropriate NSCH employees who oversee our vendor procurement and contracting processes to review and re-assess any contracts, pricing structures and/or scope of work agreements with vendors and seek best terms and pricing. Serves as the main point of contact for these vendors, including NSCH’s real estate management companies, and ensures all facilities related issues are addressed in a timely manner.
  • Create and maintain structured, organized files and documentation for all contracts, vendor relationships, SOPs and/or policies, and other responsibility the role oversees to ensure other team members can provide adequate coverage, as needed.
  • Evaluate needs, oversee, and ensure successful ordering and receipt (or installation) of all medical, dental and office equipment.
  • Serve as a resource to the “Administrator on Call” when non-clinical, urgent issues arise outside of clinic hours (evenings and weekends). Regularly updates the standard operating procedure for AOC responsibilities as it relates to key contacts for potential issues (i.e. landlords, Call Center, electronic medical record (EMR), locksmith, etc.) and other facilities/equipment-related issues.
  • Maintain close communication and collaboration with the Practice Managers/leaders of our medical, dental and school-based health centers to ensure our clinics operate in a clean, safe, healthy and friendly environment and ensure staff have functional equipment and a clean/safe physical space to do their job.
  • Work closely with staff at all levels of the organization to ensure that facility, equipment and safety are regularly assessed and evaluated and appropriate actions are taken to address areas of improvement.
  • Control and manage all facilities activities like parking space allocation, office space, waste disposal, building security, facility preparedness for changing weather conditions (i.e. plowing and landscaping services), and supervision of outsourced cleaning company.
  • Key participant in NSCH’s Safety Committee. Regularly reviews safety reports, convenes with the committee, analyzes trends and follows up on identified issues as they relate to facilities and equipment.
  • Maintain fixed asset inventory. 
  • Maintain and serve as main point of contact for Materials Safety Data Sheets (MSDS) database.
  • Establish an environment that fosters open communication and cross functional collaboration. 
  • Attend/complete all required trainings and participate in meetings as required.
  • Perform additional duties to fulfill NSCH’s mission, as assigned.

Requirements

  • A minimum of three (3) years of experience in Healthcare or related field with a minimum of one (1) year in a facilities/operations capacity. 
  • Experience in facilities/equipment management and developing and monitoring management systems. 
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook, etc.) required. 
  • Experience with electronic medical records systems, preferred.
  • Excellent verbal and written communication skills, attention to detail and overall organizational skills.
  • Ability to prioritize and execute tasks in a fast-paced environment, while working collaboratively with medical staff and other clinical operations partners.
  • Effective analytical and creative problem solver. 
  • Ability to build relationships and lead in a matrixed organization.

Physical Requirements:

This is an administrative job by nature but does require mobility and being able to commute to various offices. The employee is occasionally required to stand for extended periods of time; walk; use hands to finger, handle, or feel; reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus. Must be able to use a computer/laptop and phone in addition to the mobility.
