Operations Director

Department: Operations

Reporting to: President, Janice Christensen

Employment Status: Full-Time, Exempt

Job Overview:

The Operations Director at nora flemingⓇ is a culture champion, a report wizard, a lover of efficiency and a jack of all trades! Create a spreadsheet? Manage US customs? Predict product arrival dates? Implement a new CRM? They can do it.

They are responsible for reviewing, analyzing, and evaluating all business procedures and implementing best-practice processes that will improve day-to-day operations. In addition, the Operations Director will ensure work environments are adequate and safe, and oversee the manufacturing, shipping, and warehouse functions of the company. As a member of the leadership team, the Operations Director will bring their experience, leadership, personality and ideas to a growing and creative organization.

Responsibilities and Duties:

● Leadership

• Contribute to the development of the leadership team through communication, innovation and culture building.
• Management of the accounting team
• Management of the operations/warehouse team

● Vendor and Contract Management

• Procurement and management of vendor partnerships

■ Technology partners
■ Manufacturing partners
■ Shipping partners

• Contract review and pricing negotiation
• Regular meetings and communication
• Relationship building

● Building Management

• Ensure the building is properly maintained including the office, warehouse, parking and grounds.

● Production Management

• Collaborate with the Owners, President, and Sales Director to determine how much product should be manufactured
• Predict product needs and maintain a proactive approach to ordering
• Work with manufacturers to submit POs, manage the timing of product delivery, and ensure all custom duties are being met
• Analyze data to determine the best shipping options based on location, price, time frame, and method of delivery

● Warehouse Management

• Ensure warehouse safety policies are followed
• Oversee inventory management practices
• Innovate processes to create efficiencies in warehouse operations

● Financial Management

• Understand the company’s cash flow in order to properly forecast, order and manage inventory
• Assist in the development, use and review of company-wide budgets
• Set policies and procedures for internal team members and external accounting partners to follow regarding accounting activities such as collection processes, accounts payable, accounts receivable

● Technology Management

• Create a deep understanding of all technology platforms utilized by the company in order to create the appropriate training and reporting
• Implement new technology platforms

● Reporting and Analytics

• Create reports that detail shipping activity, projected order volumes, historical order volumes, margin analysis

Qualifications and Requirements:

● Minimum Bachelor's Degree preferred, or an equivalent combination of education and experience

● Proficient in understanding budgets, spreadsheets, and other financial data
● Ability to identify inefficiencies and to create change within the organization
● Possesses a thorough understanding of all departments within the organization
● Excellent oral and written communication skills
● Demonstrate qualities of an effective and fair leader
● Excellent organizational, time management, and conflict resolution skills
● Outstanding negotiation skills

Supervisory Responsibilities:
● Directly supervise a minimum of 2 employees within the Operations & Finance Teams

● Indirectly supervise a minimum of 6 employees within the Operations & Finance
Teams

● Carry out supervisory responsibilities in accordance with the organization's policies
● Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems

Work Environment:

● Continually required to sit, be on the phone, and use a computer
● This job operates in an open office environment with some level of noise; some time may be spent in a warehouse environment
● Occasionally required to lift items up to 25 lbs.
● Hybrid remote work schedule is an option
● Must be able to stand for extended amounts of time when at shows or in the warehouse

Job Type: Full-time

Pay: $100,000.00 - $130,000.00 per year
